Records Administration Specialist

Primary Duties
  • Maintain and manage the physical and electronic contract files in accordance with established policy
  • Maintain an accurate up-to-date log of location of files
  • Prepare and maintain records inventory and project spreadsheets in order to locate and retrieve files in a timely manner upon request
  • Receive file requests from a variety of sources including agency personnel, contractors, and auditors
  • Prioritize a high volume of file requests and be able to multi-task
  • Stay current on all changes in electronic federal records disposition policies
  • Ensure all personnel that create and use records comply with agency directives with respect to labeling, check-in/check-out, and disposition
  • Conduct data audits of file and electronic records for quality and accuracy; where discrepancies arise, develop a plan of action to correct deficiencies
  • Prepare daily, weekly or monthly reports, as required
  • Sign and record identification numbers to files for filing
  • Perform periodic inspections of files in order to ensure correct placement
  • Assist with other records management and administrative duties, as necessary
  • Performs additional records management duties as required
Secondary Duties
  • Scan documents and perform quality assurance checks on all work assigned
  • Assist staff with the transfer and retrieval of official records from on-site and off-site records storage locations
  • Assist agency offices with records identification, packaging, inventory, and shipment for storag e

  • Respond to requests in a timely and appropriate manner
  • Must be able to do repetitive work and lift heavy files/boxes
  • Work independently and efficiently
  • Basic Microsoft Word and Excel skills
Edu Education
  • Must have a Bachelor’s degree.
Exp Experience
  • A minimum of 2 years of specialized experience working with the records management software to design and maintain agency records management program
