Provide administrative support to the Regional Director(s) (RD), Specialty Leasing. Act as the regional administrative support contact for the Specialty Leasing Agents (SLAs) and the Specialty Leasing Agent Assistants (SLAAs).

  • Essential Job Functions and Responsibilities

  • Provide daily general administrative support to the RD(s) and the assigned region(s), including, but not limited to, the following:
    • Addressing all incoming calls on behalf of the RD(s)
    • Scheduling corporate and field team appointments for the RD(s)
    • Scheduling travel for the RD(s)
    • Creating and distributing a monthly travel and prospecting calendar for the SLAs
    • Producing all weekly RMU Occupancy reports and monthly RMU Sales reports for the assigned region(s)
    • Producing the RMU Expiration reports for the assigned region(s)
    • Producing the tracking reports for the field’s quarterly travel and expense monitoring
    • Producing the RMU/TILS Rent Roll template annually for SLAs regular updates
    • Overseeing and monitoring the Accounts Receivables balance report for the region(s)
    • Assisting the RD(s) with planning and executing monthly regional conference calls
    • Producing and distributing the monthly meeting minutes following each RD call
    Train and continue to coach all of the Specialty Leasing Administrative Assistants and Specialty Leasing Agents in Leaseflow and other administrative procedures for the region(s)
    • Act as the ongoing contact for questions regarding the Leaseflow program
    • Track and monitor all Leaseflow deals that are submitted to the RD(s) for approval
    • Provide administrative support to the RD(s) for centers that are temporarily without an SLA
    • Conduct interviews with SLAA candidates, as requested
    • Other duties as assigned

  • Knowledge, Skills and Abilities

    • Must be proficient in Microsoft Excel, Word and PowerPoint
    • Must be proficient in Outlook, Lotus Notes, Lotus Scheduler or similar email/scheduling system
    • Ability to quickly learn new software and/or computer programs
    • Must have strong verbal and written communication skills
    • Must have strong organizational and time management skills
    • Ability to multi-task and meet deadlines
    • Must be a team player and demonstrate initiative
    • Ability to anticipate the needs of the RD and/or the SLAs
    • Must have a high level of attention to detail
    • Must be courteous, respectful and present a positive and professional image and attitude all times

  • Experience and Training

  • Experience
    • Minimum of 5 years of administrative experience is required
    • Experience working in a team/group sales environment is preferred

    Education/Vocational Training
    • High School diploma or equivalent is required
    • BS or BA degree or equivalent education and experience is preferred

    • Must be able to sit for extended periods of time
    • Ability to handle, manage and organize documents and files
    • Ability to work well with others
    • Must be able to work under short-term deadlines and work under stress

    • Must be able to walk shopping centers, as required
    • Must be able to travel occasionally, as required
    • Strong visual and audio acuity is required
