The Regional Home Health Administrative Assistant’s primary responsibility is to ensure professional, administrative and secretarial support to the Regional Branch Administrator, Director of Patient Care Services & Office Manager for designated home health locations within Sutter Care at Home.
This position is based in our Santa Rosa Branch Office with possible travel to our Marin and Lakeside Branch Offices.
- Primary duties will include, but not be limited to, answering of telephones for the multiple home health agencies, with effective routing of calls and/or accurate receipt and forwarding of messages, and the performance of support/administrative functions.
- The administrative duties will include scanning of clinical documentation to the electronic patient record, providing back up scheduling of patients for clinician’s visits, clerical records billing auditing support, and physician orders tracking.
- This position also includes provision of administrative support of the home health business line activities, such as executive correspondence (including letter, special reports, projects, memorandums, spreadsheets and form development).
High School Education or equivalent with developed clerical/administrative skills required. Business school or comparable certification strongly preferred.
Previous experience working in an office setting in a clerical capacity with medical records knowledge or work history preferred. Previous experience in working on a multi-line phone system, answering service, or other switchboard equipment used to respond to high volume of telephone calls from the general public is required. Health care and computer experience is required.
Must have excellent telephone and interpersonal skills with the ability to exercise good judgment in handling of priority calls/issues. Ability to type 60 WPM to generate various documents, including forms and reports in MS Word. Strong knowledge of the English language including correct use of spelling, grammar, and punctuation is required, as well as the ability to compose business correspondences. Knowledge of medical terminology preferred. .
The ability to effectively establish priorities and meet deadlines when receiving work from more than one person is required.
Demonstrated knowledge of various computer software programs, particularly Microsoft Word, Excel, PowerPoint, & Outlook is required. Knowledge of office equipment required: multi-line phones, computer, paging system, FAX machine and photocopier. Knowledge of complex organizations, with an emphasis on health care and medical records environments preferred.
