PERFORMANCE PLANNING

Greet and assist patients as needed. Direct phone calls and visitors to the office. Obtain, organize, maintain patient files. Schedule appointments, exams, and testing for patients. Obtain and record necessary referral for new patients. Receive payments, issue receipts for patient accounts.

KEY RESPONSIBILITIES / ESSENTIAL FUNCTIONS

  • Greet incoming patients. Obtain necessary information, including referrals for new patients, and prepare charts for clinic.
  • Maintain appointment sign in sheet and update database with demographic information as needed.
  • Answer phones and assist callers or route to the appropriate office personnel, shared between receptionist. Phones should not ring more than three times.
  • Remind patients of upcoming appointments.
  • Send letters to patients for nonscheduled and missed appointments.
  • Schedule appointments, exams, and test as directed by medical staff, provide information regarding preparation for tests as needed.
  • Retrieve, maintain and organize patient files, laboratory reports, radiology reports, and additional records, letters, and any other sources of patient information/documents, etc.
  • Photocopy records as requested, forward information to other health care providers and insurance companies as requested.
  • Obtain and send all necessary information to billing agency including payments and receipts.
  • Retrieve information from physician’s workstation and boxes on a regular basis.
  • Assist in day to day tasks as needed in the clinic/office to ensure delivery of quality patient care, and a safe and efficient working environment.
  • Maintain patient privacy in all matters including written medical records and computer records.
    • Maintains performance, patient and employee satisfaction and financial standards as outlined in the performance evaluation.
    • Must adhere to the DCH Behavioral Standards including creating positive relationships with patients/families, coworkers, colleagues and with self.
    • Requires use of electronic mail, time and attendance software, learning management software and intranet.
    • Must adhere to all DCH Health System policies and procedures.
    • All other duties as assigned.
    MINIMUM KNOWLEDGE, SKILLS, EXPERIENCE REQUIRED

  • High school diploma or GED
  • Knowledge of general medical office procedures with at least 1-2 years medical office receptionist experience.
  • Ability to sort alphabetically and numerically.
  • Ability to operate basic office equipment.
  • Attentions to detail and to work with frequent interruptions.
  • Excellent verbal communication skills to interact with patients and other visitors.
  • Ability to establish effective working relationships with medical staff and co-workers.
  • Ability to maintain patient confidentiality.
  • Must be able to read, write legibly, speak, and comprehend English.
  • WORKING CONDITIONS

    Requires manual dexterity. Position is in an office setting requiring mostly sitting with some standing, reaching, bending, and stooping during the course of each day. Occasionally requires lifting up to 40 pounds from floor to shoulder level. May require use of footstool to reach top shelves. The position includes possible exposure to human body fluids, disease, infection, lab chemicals, and hazard materials. The position involves contact either face to face, by email or over the phone with co-workers, physicians, and patients.

    Physical presence onsite of essential. Hearing and vision must be normal or corrected to within normal range. Able to perform the duties with or without reasonable accommodation.
