JOB SUMMARY
The key to success in the Registrar position is to provide leadership to plan, organize and manage all of the activities related to the recording and registration of academic records and serve as the authorized keeper of the school’s student records in accordance with accreditor standards (institutional and programmatic), state and federal regulations, and company policies, procedures, and best practices.

TYPICAL WORK HOURS
Start times are between 7 - 11am; End times are between 5 - 9pm. Coverage for department is typically between 8am - 6pm with weekly exceptions to support school and class scheduled in the morning and evening as well as other school sponsored events. This job is not eligible for overtime pay.

ESSENTIAL FUNCTIONS
• Scheduling students into courses for each payment period, as defined by each degree audit; with the guidance from the Director of Education for a full term payment period
• Process Status Change Forms related to each student’s education/enrollment
• Analyze transcripts to determine possible entry points and schedules for re-entry students, as well as evaluating SAP eligibility
• Work with the Financial Aid Department to ensure students are properly packaged for academic payment periods
• Work with the Admissions Department to obtain enrollment documents for new students
• Collect, organize and enter student attendance for all programs
• Generate cumulative attendance reports weekly, and un-posted attendance reports daily; meet with the ED to scrub reports and communicate with Corporate Registrar regarding reports
• Monitor attendance and provide the Absence by Consecutive Day and % of Absences Report to ED, DOE, and Faculty
• Prepare attendance advising letters for students
• Post grades and generate un-posted grade report at the end of each module and payment period, hold DOE and faculty accountable for timely submission of grades
• Evaluate student transcripts and attendance to ensure students have met all qualifications to attend externship
Job Description
• Evaluate eligibility for graduation and process graduate paperwork within 3 days of graduation
• Collect, record, maintain and report student records within FERPA guidelines (grades, registration data, transcripts, mid-term verification, and records request)
• Assist with student disputes as they relate to records and registration, escalate to ED and DOE as needed
• Participate in and serve as part of the Academic Records Team, lead initiative as determined by the ED
• Collaborate with administrators to facilitate and improve services to students, including catalog and registration/records policy questions
• Ensure that policies outlined in the official school catalog are being followed including, but not limited to: attendance, grading, and satisfactory academic progress
• Collect and maintain homework projects, ensure all homework is stored according to the Homework Storage Guidelines
• Participate in training calls
• Periodically and upon request, check data integrity of program versions, SAP tables, holiday schedules and grading scales, as they are programmed into CampusVue, alert the Corporate Registrar when there are discrepancies
• Complete the Request for Retake Form when a student is needed to re-take a course(s)
• Other duties as assigned by Management
Requirements:
MINIMUM REQUIREMENTS
• At least three years related work experience in related field
• Excellent customer service, communication, organizational and interpersonal skills
• Demonstrative team-player, possession of a strong work ethic and ability to coordinate multiple tasks while meeting required deadlines
• Mastery of Excel and Word
• Superb customer-focus, understanding of who the customer is at all times
• Excellent verbal and written communication skills
• Creativity and ability to work independently
• Highest levels of integrity and professionalism, with ability and willingness to handle sensitive and confidential situations
PREFERRED QUALIFICATIONS
• Associate’s degree in a related field from an academic institution accredited by a regional or national accrediting agency that is recognized by the U.S. Department of Education
• Knowledge of CampusVue software
• Experience working in an academic department in a proprietary school setting
• Demonstrated knowledge of federal, state, and accreditation regulations applicable to the proprietary education industry
