Keeper of academic records and the University seal. Oversees registration, processing and security of student records, degree audit and diploma services, enrollment verification, grade and transcript processing, classroom scheduling, course section updates, athletic certification, and preparation of the annual registration information book.
As the unit leader oversee the Office of the Registrar and actively serve as a team member within Enrollment Management. Plan, direct, and evaluate operations of the office which include developing written long-range goals in alignment with University and Enrollment Management strategic goals. Prepare and monitor office budget. Review and modify position descriptions as necessary, hire, supervise, train, provide ongoing feedback, counseling, and evaluation of all department staff and student workers while maintaining an client/customer service atmosphere of collegiality, respect, accountability and efficient service to all University constituencies.
Administer academic policies related to degree requirements and to the requirements and credit distribution of major programs of study. Prepare and distributes on-going, timely and relevant enrollment information (i.e., Clearinghouse data), manage the system grading process, prepare grade and degree progress reports, plan and coordinates registration activities. Manage all re-admit applications and student inquiries.
Work with the Ellucian (formerly Datatel) Colleague student information system, to provide accurate information, reports and support services to students, faculty and administration and works closely with the Office of Institutional Research and Planning. Attend applicable training, contact with the vendor and create a network of peers to evaluate operations and bring best practices to the University. Monitor applicable Colleague modules and campus access.
Maintain official academic records of the University. Maintains student records and manages the student information system according to the guidelines of the AACRAO. Ensures security and integrity of student records in accordance with FERPA, SCHEV, State Library, and NCAA regulations.
Responsible for the evaluation of students' progress toward completion of degree or program of study, supervises degree audit and certifies completion of degree requirements. Serve as the key point of reference with regard to the evaluation of transfer student transcripts credit and assist departments in evaluating transcripts for credit in majors if needed. Participate in Commencement Committee; oversees the preparation of clearances, certifications, and mailing of diplomas for all graduates.
Verify athletic eligibility of athletes. Consult with faculty bodies about academic requirements, and counsel students, faculty and staff on academic regulations.
The Registrar acts as a liaison and collaborative partner with the academic programs, student success center and other offices, including those within Enrollment Management to provide the best possible opportunities in support of student success. Work closely with the Deans, faculty and staff in each of the colleges and schools on registration, projects, and optimization of course scheduling. Collaborate with the Provost Office in establishing and publishing academic calendar and class schedule.
Work closely with the Office of Information Technology, and identifies computer programming needs for student information system to include web-based registration, grading and other on-line processes. Serve on technology teams. Ensure an up-to-date web presence that assists prospective, new and current students.
A Bachelors degree is required. Prior higher education and Registrar management experience. Must be a proficient user of technology and have an in depth knowledge of student information systems and reporting tools.
A Masters degree preferred and progressive experience within the Registrar's Office.
There will be a criminal background check requirement.
