DESCRIPTION

This position coordinates the daily activities related to research administration for the Wolfe-Harris Center for Clinical Studies (WHCCS) and the Office of Research Services. This position requires strong organizational and communication skills, attention to detail, a positive attitude, and enthusiasm for working as part of a team and independently. The successful candidate will be able to prioritize activities appropriately and work well when under time constraints.

DUTIES

Provide day-to-day administrative support to the Dean of Research and research faculty:
Manage appointments and meetings including daily calendar maintenance and long-range planning
Respond to a variety of requests to resolve administrative issues, provide information, and/or refer to appropriate personnel
Arrange travel for the Dean and research faculty including air, hotel, car, etc. Complete conference registrations. Prepare travel itineraries. Process travel/conference reimbursements
Reserve meeting space and audiovisual/computer equipment, arrange catering, and prepare meeting materials (e.g., agendas)
Participate in project-related meetings to distribute meeting materials, record minutes, and support needs of attendees
Provide general administrative support to the WHCCS and Office of Research Services:
Retrieve journal articles and reference sources as requested
Assist in preparing conference presentations (PowerPoint)
Assist in proofreading, formatting, editing, tables, and generating references (Word)
Coordinate continuing education reporting to the MN Board of Chiropractic Examiners for research faculty
Order office supplies
Generate and track purchase orders (Agresso business software)
Distribute fax/mail/email correspondence
Coordinate courier services
Answer the main WHCCS phone line
Greet and direct visitors
Copy and file

Manage the RefMan research bibliographic database including:
Perform accurate data entry of articles
Perform regular quality assessments of the RefMan database to ensure accuracy and completeness
Provide back-up administrative support to the Vice President of Research
Coordinate housekeeping and maintenance requests
Perform other related duties as needed

QUALIFICATIONS

High school diploma or GED, required
Three years related experience in administrative support or an equivalent combination of education and experience, required
Intermediate to advanced skill using email scheduling software, Microsoft applications (Word, Excel, and PowerPoint), and network file management
Proficient typing and data entry skills
Ability to take initiative and follow through on multiple assignments
Ability to focus, effectively manage frequent interruptions, and work well during periods of stress
Ability to maintain confidentiality
Ability to establish and maintain effective working relationships with diverse individuals
Ability to adapt to changing work priorities
Strong oral and written communication skills
Sense of individual responsibility and accountability
Strong organizational skills with attention to detail
Desire and capacity to advance skills and proficiencies to meet evolving needs
