Sales Administration Secretary (ADMIN_5.13)
Title: Sales Administration Secretary
Provides secretarial and administrative support to the Manager of Sales Administration.
Reports To : Sales Administration Secretary
Provides support to Manager of Sales Administration via copying, scanning, data entry, etc.
Coordinates the execution of new leases, as well as, upcoming lease renewals.
Updates sales boards for upcoming events, promotions, incentives, etc.
Distributes mail, account statements, memos, etc.
Responsible for sending letters to new customers, as well as, existing customers when a new Salesperson is assigned to their account.
Reconciles budget spreadsheets, as well as, month end reports – turnover, new accounts, and carton returns
Maintains bi-weekly report for status of open routes and trainees.
Sends mail merge letter of red-lines not run and missing red-lines to Hanover-based route sales and logs when completed.
Coordinates meeting room and food arrangements for VP Meetings, Staff Meetings, and Regional Reviews.
Keeps adequate inventory of supplies for copiers located in the Sales/Marketing hallway and initiates maintenance calls as needed.
Sends FedEx overnight packages 2x/week to out-of-town VP’s/ AVP ’s.
Sends letters to Regional Sales Managers for Free Set invoices that are missing or missing information.
Backup to 10 + 10 program.
Responsible to post orders on call-in board from 3 PM – 5 PM and other times, as needed.
Performs other duties as assigned.

Knowledge, Skills and Abilities Required:
Requires organizational and time management skills.
Requires excellent computer skills to include Microsoft Office programs.
Requires excellent communication skills to communicate with internal and external customers.
College Degree is preferred but not required.
Working Conditions :
Open office environment located in a hallway with the potential for interruptions to work flow.
