The Sales Administrative Assistant is responsible to assist the sales team in the administrative functions required for effective hotel sales and management. All hotel operations must be executed at the highest level of professionalism and courtesy. The Sales Administrative Assistant must ensure that our associates, co-workers and our customers are treated with the utmost respect at all times since they are the key to our success.

  • Treat guests, associates, vendors and co-workers with professionalism and respect at all times
  • Ensure understanding and compliance of all emergency procedures
  • Be able to work well under pressure and meet or beat deadlines
  • Act as liaison between sales managers and clients in the sales manager's absence.
  • Take booking inquire information via phone and prepare proper paperwork
  • Answer telephone and respond to caller inquiries speaking in a clear and pleasant manner
  • Exercise decision making skills to direct caller's request
  • Distribute documents to appropriate persons and locations to ensure prompt processing
  • Handle individual reservations for VIP clients and ensure all arrangements are fully executed
  • Compose and execute all sales contracts and sales documents timely and accurately
  • Organize, file and retrieve documents in appropriate folders for proper record keeping
  • Comply with attendance rules and be available to work on a regular basis
  • Written and verbal communication skills
  • Microsoft Word, Excel and all sales application programs
  • Perform other tasks that are deemed necessary to the success of Pearl, the hotel and the associates
