This is a multi-faceted role with responsibility for organizing and managing deliverables as well as providing administrative leadership and support. The position has regular interfaces with senior leadership, clients, production, operation, and administrative staff. This position reports to the General Manager, Corporate Underwriting & Integrated Media Sponsorships with dotted line support of the National Underwriting team.
Job responsibilities include, but are not limited to:
Supporting the GM:
Manage meetings and presentations for GM with Sr. Management, clients, as well as a calendar of regular meetings with Underwriting Managers, etc.
Provide administrative support for the calendar of meetings and workflow of the GM office, including a daily schedule with Attendee and Agenda, and prep materials.
Organize and distribute weekly plans from UW Managers and manage scheduling of weekly Focus meetings and staff meetings
Assist in preparation of presentations and internal reporting needs.
Oversee departmental submission of bi-weekly timesheets
Plan and manage special projects and other activities as needed.
Supporting the National Underwriting Team of three managers:
Plan, create and maintain interdepartmental efforts to capture and track key activities that support the sales process. Devise the appropriate vehicles for collecting, updating, and disseminating the data as needed by the National Underwriting Managers.
Assist in creating proposals and presentations for national clients.
Assist with the production and processing of traffic orders both on-air and digital.
Assist with copy approval for national/network business.
Create and update media kits & other sales collateral.
Assist with National Underwriting promotional events as needed.
Heavy client contact.
Provide backup support to National Underwriting Managers.
Effectively cultivate and navigate relationships within the organization to ensure complete and thorough communications and completion of work assignments
Prepare written responses on significant and non-routine matters. Draft accurate and appropriate correspondence and communications.
Manage travel arrangements using best judgment.
Create and maintain electronic and physical files and use judgment to apply the appropriate record retention requirements.
Minimum 1-2 years administrative experience required.
Prior experience working in a sales or marketing environment is preferred.
Requires prior experience building and maintaining relationships with both internal and external contacts; superior interpersonal and communication skills.
Requires the intellectual and emotional depth, maturity, self-confidence and interpersonal skills to work effectively and interact with the other Underwriting staff, NYPR executives, colleagues, industry representatives and clients.
Excellent communication skills – both oral and written – with an impressive reputation for building and maintaining relationships with people at all levels of an organization, across a diverse range of cultural, generational, ethnic, racial, educational and social backgrounds.
Ability to prioritize and manage multiple projects and Attention to detail and accuracy is a must.
Proficiency with Excel, Powerpoint, Outlook, and Word required.
