Job Summary and Responsibilities:
Liaison between ad agencies/clients and various internal departments.
Enter orders into the system.
Maintain contract binder and ensure contracts are current.
Coordinate promotional kits
Work with team members to correct any billing discrepancies with the ad agencies/clients and internal departments.
Supply advertisers & agencies with information such as rate cards, specs & schedules as requested
Assist in PowerPoint presentations, Excel spreadsheets and daily correspondence
Assist with marketing/sales projects and events
Maintain supplies and magazine comp list for team
Maintain binders of back issues for team reference
Perform administrative duties for the sales team
Handle MSG for the reps as it pertains to financials, this year vs last year, account assignments, etc
Create contracts, IO’s, ARF’s, ORF’s
Work with Coordinators on extensions and materials as needed and input material deadlines in MSG notes
Distribute contracts and maintain contract binders and backup copies
Handle all shipping and mailing needs (Including Media kits)
Travel Booking
Expenses (Reps to provide receipts and pertinent info)

Work with Accounting on:
Rate Variance
Late payments
Establishing credit terms
Credit Card Authorization forms
Follow up on billing issues as needed
Follow up on basic client needs/requests when sales reps are out of the office

Other duties and tasks as assigned Education/Experience:
Associate’s degree
3–5 years in an administrative assistant role
Preferably experience in marketing, public relations and/or advertising fields Knowledge, Skills, and Abilities:
Relies on experience and judgment to plan and accomplish goals Physical Requirements:
The ability to sit for prolonged period of time and view computer screen. Equipment/ Software Used:
MS Office (Strong Excel, Word and Powerpoint skills)

MSG Work Environment:
Work is performed in an office environment that is well lit and ventilated.
