Position Summary:
The Sales Support Specialist will manage the cross functional team supporting the quote to cash value process stream. The cross functional team consists of Quotation Representatives and Sales Coordinators. The position will oversee the daily activities with quote preparation, sales and forecasting, job coordination, invoicing, freight management, import compliance and service & warranty support services. Also, will manage team and resources to provide proper sales support coverage met for each region and account; and manage process evaluation and improvement initiatives taking in account the entirety of the Quote to Cash Value Stream Process.

Ensure staff development through planning, mentoring, training and performance reviews

Building a culture of high performance within the team focused on continuous improvement

Able to lead, inspire and engage the team towards the vision and goals

Staff recruitment, development and succession planning

Accountable for the lead of the SIOP process (Sales & Inventory Operations Planning) in collaboration with Equipment Sales, Senior management and Finance

Manage and support all aspects related to SAF forecasting and data integrity in order to optimize the Equipment sales order process and the revenue conversion cycle.

Manage the creation of Business Process & Procedural documentation related to the Quote to Cash value stream process

Manage the processing of approval of customer invoices, overviewing product line cost analysis.

Manage freight charges and claims

Manage the Quotation of equipment, parts, installation & freight, gathering documents for job file to start order entry, complete credit checks and applications, Coordinating installation for C-store.

Work on a matrix organization environment interacting with Sales Professionals, Project Managers, Customers, Operations Group and Finance. Address processes improvement needs as it relates to all aspects to the Quote to Invoice Value Stream Process

Lead, create, maintain and monitor policies and steps including but not limited to customer interaction, customer satisfaction order flow to drive maximum customer value while keeping proper controls and regulations in effect. Enforce all company policies.

Become “super user” for new operating systems and programs as they come into facility and act as trainer to employees.

Work with other departments both regional and international on different interaction as required for cross functional Quote to Cash group. Lead projects for changes required to headcount allocations, functional duties and special programs brought forward by senior management both to functional area and others.

Required Skills

5+ years of experience, Bachelor’s degree preferred

Accounting background HIGHLY desired

Strong project management skills, including the ability to organize and coordinate multiple tasks, communicate information in a timely fashion and with the appropriate sense of urgency.

Attention to customer needs and maintains a high level of discretion and confidentiality in dealing with sensitive material.

Excellent verbal and written communications skills, organizational skills, mathematical skills, detail oriented and highly motivated.

Ability to work both individually and as a team with minimum supervision.

Proficient in Microsoft Word and Excel. Outlook, PowerPoint, Access experience desired.

Ability to work in a team environment and desire for continuous learning through cross-training

Experience with Hussmann products needed.
