Plan and perform, independently, a variety of administrative, secretarial and clerical duties which requires a thorough knowledge of University policies and procedures.
Key Functions and Expected Performances:
Coordinate patients care:
Obtain patient records from referring physician.
Schedule appointments and operations.
Work with other departments/MDs to assist in coordination.
Speak with patient/family regarding appointment times
Arrange CT/MRI or other imaging to coincide with patient clinic visits
Facilitate MD communication through phone calls and letters
From general direction, prepare correspondence, letters to patients, and dictation.
Coordinate meeting schedules and calendars, including travel arrangements and expenditures.
Screen and handle incoming telephone calls.
Help maintain work flow throughout the department/division/unit.
Familiar with federal and department policies and procedures.
Assist in research projects, e.g. coordinate VTCCTO and other research meetings with numerous other research team members
Prepare minutes for VTCCTO
Provide administrative support to VTCCTO nursing staff
Manage VTCCTO website
Communicate with OR coordinators regarding special instrumentation for OR cases
Compile patient information for working database of all hepatobiliary and pancreatic (nontransplant) cases for Weekly Hepatobiliary Meetings
Manage visiting student (MS IV) clerkship issues including student meetings, presentations, recommendation letters
Other duties as necessary.
Job requires High school graduate or GED and 5 years of experience or the equivalent.
