To provide a wide variety of administrative support for the Accounting Department as a whole to include clerical, fiscal, and receptionist duties.
Must have a high school diploma or GED plus two years of progressive work experience.
Filing, reception and general office experience necessary.
Knowledge of basic bookkeeping skills required.
Minimum typing of 50 wpm and at least one year experience with word processing and computers.
Must be able to receive and follow instructions and accomplish tasks accurately and efficiently.
Organizational skills and the ability to act independently is necessary.
Must possess good communication skills and be able to maintain confidentiality.
Establish, maintain and revise accounting record filing system for General Accounting which includes payroll, travel, payables, bank statements, leases, contracts, tax papers and authorization memos. Classifies, sorts and files correspondence records and other documents, as directed under the supervision of the Senior Accountant.
Greets visitors, answers telephones and routes incoming calls to appropriate staff members.
Receives and verifies corporate wide cash deposits and determines account coding for all deposits.
Prepares distribution of state and federal grants to Department Managers for monthly, quarterly and annual reports which includes the billings. Additionally, prepares billing for miscellaneous corporate services.
Copies, compiles and distributes monthly, quarterly and annual departmental reports as directed.
Compiles and inputs data information into General Accounting computer system as directed on a routine basis.
Orders office supplies and equipment independently or as directed.
Responsible for inventorying, monitoring, delivering, checking in and out supplies corporate wide.
Performs a wide variety of typing assignments which are often very confidential for Accounting and Comptroller.
Performs routine trouble-shooting and maintenance for Accounting Department office equipment, i.e. postage machine, copiers, typewriters, and printers as needed.
Distributes mail to appropriate staff members.
