The Columbian College of Arts and Sciences is looking for a part-time Secretary to handle the front end of the German and Slavic Languages Department. A knowledge of the foreign languages is not required. Scheduling of hours will be handled by the department. Previous office experience in a bustling environment is a plus. We are seeking a multi-tasker who can hit the ground running!

Minimum Qualifications:
High school diploma, or equivalent combination of training and experience, is necessary plus one year of relevant experience.

Desired Qualifications:
One year of general office secretarial or clerical experience.

Job Duties

Function:
Initiates appointment schedules for the supervisor or key staff members and keeps appointment schedules.

Function:
Performs other work related duties as assigned.

Function:
Receives, opens, and sorts incoming mail. Composes replies which can be answered through knowledge of precedents and routine office functions. Refers remainder to supervisor for appropriate action or redirects to other University organizations.

Function:
Assists in budget preparation by assembling data, preparing vouchers, billing clients or students for services or publications.

Function:
Acts as a receptionist by receiving calls and visitors. Refers callers to the concerned staff member, other University organizations or community source. Furnishes routine information concerning organization functions, procedures, policies and progress of projects on which staff is engaged.

Function:
Takes minutes of proceedings and distributes them to conferees. Maintains and, as necessary, reorganizes departmental files.

Function:
Makes travel arrangements for supervisor and staff.

Function:
Inventories office supplies, equipment, etc., and requisitions or purchases types and amounts of items needed for efficient operation.

Function:
Schedules meetings and assembles information needed to support staff participation in meetings.

Function:
Types letters, memoranda, publicity, statistical and narrative reports from draft. Ensures correct format, grammar, spelling, content, unity and coherence.
