This position requires a highly skilled and competent Music Department Secretary who will be an integral part of the Department's ability to maintain accreditation by the National Association of Schools of Music (NASM), National Council on the Accreditation of Teacher Education (NCATE), and the Pennsylvania Department of Education (PDE) as well as to meet the obligations of the Collective Bargaining Agreement (CBA). Because the first demand on department chairs is to their students as faculty, and because the chair of academic departments change over time, the Secretary becomes the "glue" that holds a department together and keeps it functioning even when there is a transition.
The variety and breadth of areas of responsibility encountered in this position is unusual for most secretaries at Millersville and requires someone who can multi-task, who takes initiative, and who can stay focused despite numerous interruptions.
The Secretary answers telephone calls coming in to the Department Office and the Music Department Chair and provides information to callers or directs them to the appropriate faculty member or Chairperson.
The Music Department Secretary will be expected to be skilled in using SAP/BCS, Hyperion, Banner, Ad Astra, Outlook and Outlook calendars, Word, Excel, DARS, network, basic web applications, social networking software and other applications. Use of both Macintosh and PC are required.
S/he will be expected to take on additional responsibilities as assigned.
At least six months of clerical experience; proficiency in Word including word processing and Excel. Demonstrated ability to proofread and prioritize duties. Attention to detail. Excellent oral, written and interpersonal communication and organization skills. Applicants must take and pass a computerized clerical test, typing and Excel. Demonstrated evidence of commitment to diversity and equity; successful interview; and a background check.
Experience using Banner, Brio and the internet.
