The Secretary is responsible for reading and routing incoming mail. Locates and attaches appropriate file to correspondence to be answered by manager. Takes dictation in shorthand or by machine and transcribes notes on typewriter or computer, or transcribes from voice recordings. Composes and types routine correspondence. Organizes and maintains file system, and files correspondence and other records. Answers and screens manager's telephone calls, and arranges conference calls. Coordinates manager's schedule and makes appointments.
Qualified candidates must have one to three years prior related experience . Ability to work on various assignments simultaneously. and to communicate tactfully, verbally and in writing with department heads, managers, coworkers and vendors to resolve problems and negotiate resolutions. Working knowledge of computers, internet access, and the ability to navigate within an automated systems as well as a variety of software packages such as Outlook, Excel, PowerPoint, and Word.
High school graduate or equivalent required.
