JOB TITLE: Secretary to Special Education Administrators

REPORTS TO: Director of Special Education


GOAL: Ensure the smooth and efficient operation of the special education office and present a positive reflection of Macon-Piatt Special Education District.

qualifications/Knowledge / Skills:
High School Diploma required; associates degree preferred

Excellent typing, word processing, and file maintenance skills

Effective communication and interpersonal skills

Ability to operate office equipment

Basic math skills

Intermediate software skills in word processing and in the development of spreadsheets and data bases.

Good public relations and telephone skills

Ability to work independently, recognize priorities in work load, and shift from job-to-job as needed

Ability to maintain confidentiality
Experience: One to three years secretarial experience, preferably in a public education environment

Conditions of Employment Fingerprinting and job-related background check required

Passing score on the Clerical In-Basket assessment


Enter student demographic information, discipline, attendance, and vocational time sheets into computerized system.

Answer telephones, take messages, and provide accurate information concerning special education to callers and administrators.

Create and/or update necessary forms and documents needed to maintain special education reports and records.

Generate and distribute notifications of IEP meetings to all appropriate persons.

Compile and maintain student paperwork, requisitions, billing, quarterly, and end of year reports for the vocational grant.

Prepare, type, distribute, and file correspondence, forms, reports, schedules, and applications, etc.

Create and mail agenda, brochures, fliers, newsletters and new forms.

Assist with filing and copying.

Schedule appointments as needed.

Perform other job related duties as assigned.
Terms : 220 days in accordance with the negotiated agreement.

WORK ENVIRONMENT: The noise level in the work environment is usually moderate. The job is performed under minimal temperature variations and a generally hazard free environment.

MENTAL FUNCTIONS: While performing the duties of this job, the employee regularly is required to compare, analyze, communicate, coordinate, instruct, synthesize, evaluate, use interpersonal skills, compile, and negotiate. The employee is frequently required to copy.
