A Senior Administrative Assistant responsibilities include providing a high level of support to the Customer Vice President and his direct staff, managing the office and completing non-routine, complex projects and assignments. Requires daily contact with all levels of management, often dealing with confidential information.

Interaction involves regular communication requiring interpretation, persuasion and discretionary skills.

Support CVP Sales and Cheese Sales Directors

Calendar – schedules appointments and controls executive calendar

Travel – Plan travel for upcoming meetings with little direction

Maintain confidentiality in HR matters affecting the department and act as liaison between Sales and HR for the department.

Support Cheese Sales Department

Assist in setting up meetings (conference rooms & catering)

Coordinate and set up travel

Onboard new employees, assist with employees leaving the department, and coordinate office moves

rchase office supplies and order reprographics jobs

Schedule conference calls, ship product, and sort mail

Manage the office in an efficient, well-organized manner, including managing

Pcard purchases and reconciliation, and coding and processing all department invoices.

Offsite Events

Annual National Meeting

– Assist in planning and executing a 3 day meeting for approximately 200 people (meeting location, travel, food & beverage, AV)

Quarterly Extended Staff Meetings

– serve as main point of contact for planning and execution of logistical details (meeting location, travel, food & beverage, AV)

NFRA

– Manage the customer meeting schedule, facilitate payment of fees & dues, coordinate the Taste of Excellence event (chef, menus, shipment of product for sampling), and set up travel and registration for attendees.

Qualifications

Minimum 5 years relevant work experience

Excellent written and verbal communication skills

Mastery of standard Microsoft tools

Ability to interact with all levels within and outside of the company

Maintain confidentiality

Ability to prioritize multiple tasks

Ability to work independently; make decisions in management absence
