MINIMUM QUALIFICATIONS :
  • High school diploma (or equivalent) and THREE years (full-time equivalent) of employment in a general office support position in a professional office setting
    OR
  • Completion of an office support certificate/degree program and TWO years (full-time equivalent) of employment in a general office support position in a professional office setting
RESPONSIBILITIES : This position provides administrative support to the adult mental health, chemical health, and adult protection teams. The candidate shall have the ability to independently problem solve and provide quality work. Duties include invoice payment and using the Social Service Information System (SSIS) and financial management systems for payments and balance tracking. Other duties include training staff on phone and computer systems, coordination of Local Advisory Committee (LAC) meetings, taking minutes for specific meetings, special projects as needed, and a variety of client related reviews and tracking. Additional duties include tracking and reporting data for statistical purposes, case management compliance, and for budget and grant maintenance. Works with the Information Technology Department on the development and maintenance of systems to track and report service information.

SELECTION TECHNIQUE : Your training and experience will be rated based on the required application material submitted and the top scoring candidates will be forwarded to the hiring department for further consideration.

HOURS / DAYS : 8:00 a.m.-4:30 p.m. Mon-Fri. Work schedules (hours and days) and location are subject to change based on department needs.
ANTICIPATED HIRING RANGE : $15.04 - $17.80/hour

GENERAL DESCRIPTION:

The Senior Case Aide performs a variety of tasks to support individuals or families in obtaining social services. Work is also directed to assist professional staff in complying with program record requirements and to collect non-levy revenue. The work is performed under the direction of the unit supervisor and is reviewed through conferences, file review, reports and results attained.

KNOWLEDGE, SKILLS & ABILITIES:

Education and Experience:
  • High school diploma (or equivalent) and THREE years (full-time equivalent) of employment in a general office support position in a professional office setting

  • Completion of an office support certificate/degree program and TWO years (full-time equivalent) of employment in a general office support position in a professional office setting.
The finalist for a position vacancy will be required to pass a criminal history investigation at County expense prior to beginning employment with Washington County.

Must have own means of reliable transportation for business purposes. Individuals operating a motor vehicle for County business must possess a valid driver's license.

Knowledge of: Interviewing techniques and skills at conducting interviews; knowledge of available resources and other economic support programs; knowledge of federal, state and county requirements, regulations and policies related to social services programs; knowledge of human behavior; and knowledge of basic mathematics.

Ability to: Relate to people, including economically and culturally diverse populations. Ability to organize and coordinate job activities, to accurately and rapidly process detailed information and to make decisions and remain objective. Ability to establish and maintain positive professional relationships with clients, co-workers and the public and ability to accept and benefit from supervision. Ability to express ideas and communicate effectively in verbal and written communications. Ability to problem solve and work independently. Ability to report to work on a regular and timely basis.

Skills: The use of computer software programs and keyboarding skills.

EXAMPLES OF WORK:

1. Determines eligibility of clients for social services programs and maintains complete and accurate records on client eligibility. Reviews case records for completion of required agency forms. Explains childcare assistance, social services, economic support, and other community programs and services to individuals and groups. Explains application procedures and assists individuals in completing social services application forms. Interviews clients to obtain and verify necessary factual information. Informs clients of the right to appeal and other rights. Responds to initial complaints from clients regarding services.

2. Performs statistical operations and assists in report creation relevant to social services programs for federal and state requirements and agency needs. Childcare assistance staff compiles a quarterly report for federal/state requirements.

3. Authorizes, verifies and processes purchase orders for payment of services for individuals and purchase of service contractors. Properly codes and reconciles billings for vendors.

4. Develops and implements procedures for the client transportation program and makes recommendations for improving operations. Works in cooperation with community service providers in scheduling transportation and resolving problems.

5. Coordinates and operates programs to collect non-levy revenue for social services expenses. Determines client fees or co-payments and implements procedures for payment or involuntary recovery. Determines eligibility for federal or state funding for social services costs and establishes records to assure collection of these funds. Works with insurance providers and Medical Assistance program for payment of eligible expenses. Assists in recovery of costs that are the responsibility of another county or state. Childcare assistance staff work closely with child care providers, licensed and legally non licensed for payment of child care expenses as needed.

6. Participate in the development of procedures for service operations. Coordinate with Information Technology and Financial Services procedures for case management billings, screening and code updating. Provide information about changes in procedures and requirements for services to direct service staff. Participate in the review and revision of childcare assistance policies and procedures as needed or by rule or statute change.

7. Composes correspondence and constructs reports as needed.

8. Performs other duties as assigned.

ESSENTIAL FUNCTIONS: The essential functions are #1-8 as stated above.

WORK ENVIRONMENT: Work is sedentary in nature performed within the Government Center, satellite offices or on occasion client homes. Lifting requirement of 15 - 20 pounds on an occasional basis. Wrist and finger manipulation due to filling, compiling, calculating, or computer work. Equipment used may include, but is not limited to, computer, typewriter, calculator, telephone, copy and fax machine, and dictaphone. Additional physical/mental requirements that occur may not be listed above, but are inherent in performing the position's essential functions.
