This is a Senior Court Operations Specialist vacancy to perform a variety of complex clerical and administrative support duties for municipal court operations. The incumbents function as court operations generalist; handling more complex aspects of court processing including day-to-day problem solving. Assignments may include criminal court room clerk duties; updating criminal case files, criminal histories and DMV records; preparing, certifying and recalling warrants; jury management; scheduling and calendaring; and processing criminal appeals. Incumbents are responsible for evaluating situations and issues; making independent decisions requiring interpretation of policies, processes and procedures; assisting in development of policies; composing and preparing correspondence in cases where special circumstances may preclude routine or form letters.
The position requires considerable public contact. Employees of this class are expected to employ skill and judgment during these contacts within established policies and procedures. Employees may be privy to information of a confidential nature involving financial, personnel, legal, law enforcement or development issues. Incumbent in Sr. Court Operations Specialist classifications can perform the full range of complex administrative court support duties requiring detailed knowledge of assigned program area(s) and skill in exercising decision making, interpretation and independent judgment and a greater deal of authority in processing transactions and resolving problems than Court Operations Specialists. Incumbents may provide lead direction to co-workers.
The job involves regular focus on a computer screen for prolonged periods; daily standing for prolonged periods; daily use of a keyboard, light lifting up to 20 lbs; visual acuity and depth perception to recognize words and numbers; hand/eye coordination to use a computer keyboard and common office equipment; speaking and hearing ability sufficient to hear over the phone and at the counter with background noise. Work is performed within an office environment with large volumes of transactions to process, heavy phone and foot traffic and constant interruptions. Frequent phone and in-person contact with angry, hostile, confused and/or frustrated customers, from different diverse backgrounds. Work may involve evenings or early morning hours as necessary.
Graduation from high school or GED, including or supplemented by courses in paralegal subjects, and 3 years of increasingly responsible experience of a general clerical nature, involving high volume public contact, processing financial, administrative or legal documents, preferably court related work experience, bilingual in Spanish desired, or any combination of experience and training sufficient to support the knowledge, skills and abilities required. LEDS certification or the ability to acquire and maintain one after appointment.

The interview will evaluate the following job-related knowledge and abilities: advanced knowledge of Municipal court procedures or the ability to acquire within a six month period after appointment; court proceedings or procedures and of legal terminology as used on legal documents; traffic citations, DMV regulations and processes, and driving records; business English, spelling, punctuation, and simple arithmetic; Law Enforcement Data Systems (LEDS); ability to exercise sound judgment to solve problems, work independently and make appropriate decisions regarding work methods and priorities; effectively prioritize and execute tasks in a high-pressure environment; work in a team-oriented, collaborative environment; complete work with attention to detail and thoroughly; work quickly and accurately within time constraints associated with legal processes; effectively communicate interpersonally, and in groups; and write clear and concise memorandums, reports or other documentation; maintain composure even in difficult situations; deal tactfully with the public; and deal calmly and effectively in confrontational and/or high stress situations; establish and maintain complete and accurate records and accounts; handle multiple tasks simultaneously; read at a level to comprehend written text such as laws, ordinances and various legal documents; take oral dictation and transcribe it; operate a computer terminal with speed and accuracy in inputting data, enter information, access and retrieve information; and proficient use of modern office equipment including personal computers and databases, word processing, fax machines, and spreadsheet applications.
