This role supports Avon’s Senior Vice President of Business Transformation & Global Supply Chain. as a member of

Avon’s Executive Committee.

The Senior Executive Assistant provides overall secretarial and administrative support as described below:

The ideal candidate for this position must operate effectively in all aspects of senior level administrative support.. He/she will have a keen attention to detail, the ability to prioritize workload, handle sensitive information, be well organized and multi-task in a smart and timely fashion. The individual must also demonstrate excellent interpersonal and communication skills, both verbal and written, as well as significant experience and capability supporting a global leader and operating in a global environment.

The role requires detailed management of all aspects of senior level meeting planning and travel and he/she is expected to manage all details associated with those activities. This individual will be expected

to strictly maintain confidentiality and exhibit discretion and professionalism in all activities. The Senior Executive Assistant should be able to work independently with little or no supervision. and should enjoy the administrative challenges of supporting an executive within a global organization and be able to achieve cross-functional coordination across programs and departments. He/she will need to be dynamic, high-energy, and possess excellent judgment.

Duties include but are not limited to:
Through high-quality output, support the senior executive in a variety of administrative tasks including but not limited to executive

calendar, scheduling meetings, travel arrangements, preparing presentations, preparing speeches and screening incoming calls, emails and correspondence and responding independently when possible

Prepare and arrange meetings, calls and events - sets up, manages, and monitors multi-party conference calls, meetings, etc.

Manages incoming calls and correspondence from external Board members, Banks, external client organizations, people from around the world and responds or redirects calls as appropriate – acts as liaison to maintain these external relationships

Proactively prepares the executive in advance of all global travel i.e. coordinates detailed travel arrangements - prepares travel documents and analyzes flight options to minimize travel time; deeply understands the challenges and complexity of international travel and plans in a manner to most effectively assist the executive

Anticipate senior executive needs and proactively bring together resources

Manage shifting priorities with flexibility and accuracy

Identifies and resolves problems in a timely manner; gathers and analyzes related information skillfully

Manages expenses - handles expense reports

Understands, and through Excel and other means, properly structures and analyzes various sets of data, including, but not limited to financial, operational, statistical, trend data.

Be comfortable with proactively learning new skills and concepts, including, but not limited to areas such as business processes, continuous improvement,

Effectively manages all aspects related to interfacing with IT on technology issues, including but not limited to technologies related to computers, cell phones, blogging, texting and such

Designs and edits presentations and forms

Manages the mail, files, faxes, and orders office supplies


Minimum of 10 years executive assistant experience in a highly global, fast paced corporate environment; previous senior level executive level support required

BA or BS degree desired

Requires a high degree of professionalism to handle sensitive and confidential information as well as internal and external, domestic and international telephone calls

Must be able to provide quick turnaround of unanticipated requests

Must be able to prioritize and organize workflow to ensure effectiveness and efficiency; manage tight deadlines

Highly proficient computer skills (advanced or higher) needed with Windows, MS Word, Excel, PowerPoint, Lotus Notes, Outlook, “customer relationship management” (CRM) software concepts – high degree of accuracy

Must have ability to learn new computer systems quickly

Exceptional listening skills.

Excellent oral and written communication skills with a high degree of accuracy and attention to detail needed

Strong interpersonal skills exercising discretion and diplomacy in working with others including all levels of management needed

Strong business understanding and judgment necessary

Ability to maintain performance in high pressure situations

Familiarity with Avon structure, processes, and terminology desirable
