Senior Payroll Associate

The Senior Payroll Associate reports to the Payroll Manager and is responsible for performing all activities necessary to accurately and effectively process monthly payrolls including maintaining related records, processing involuntary deductions such as levies and garnishments, preparing accounting transactions and documents, documenting and updating procedures and preparing special reports for managements.

MAJOR RESPONSIBILITIES:
  • Assist in the processing of multiple payrolls for 1,200+ employees using the ADP system
  • Assist with processing of time cards for payroll hours for import into ADP and other payroll tasks
  • Process all employee Garnishments, Child Support, and levies including monitoring of all third party checks
  • Transmit payroll files for monthly payrolls
  • Receive and check detail and summary payroll files for all monthly payrolls
  • Handle all calls as they relate to payroll issues or requests
  • Process interface files from third party vendors (i.e. medical benefits/401k contributions/loans)
  • Process final vacation payouts for terminated employees
  • Review all manual checks before processing and maintain manual check log
  • Perform queries and create reports as required
  • Maintain monthly payroll files
  • Prepare reports after each payroll/monthly for senior management and other departments
  • Maintain payroll office personnel files
  • Provide positive support and interaction with co-workers, internal customers and business partners
  • Prepare monthly journal entries and supporting schedules according to monthly close schedule
  • Prepare monthly account reconciliations and work to resolve any discrepancies
  • Prepare monthly payroll accruals
  • Assist in the documentation of processes and evaluation and establishment of internal controls
  • Other duties/special projects as assigned

REQUIRED SKILLS & QUALITIES:
  • Associates Degree or equivalent training, education
  • 3 to 5 years payroll experience
  • Knowledge of basic accounting practices in relation to payroll/tax administration and processing
  • Excellent organizational ability required to handle multiple priorities
  • Strong attention to detail and accuracy
  • Strong desire to learn; self-motivated; takes initiative and can work independently
  • Highly detail oriented and organized in work
  • Ability to meet assigned deadlines
  • Excellent communication and interpersonal skills with a customer service focus
  • Proficiency with Microsoft Office applications; knowledge of ADP PayExpert a plus
