FUNCTIONAL JOB TITLE: Senior Portfolio Officer

DEPARTMENT AND P/L CODE: PPM – Strategic Portfolio Support Office

The position will be the point person Regionally as well as a key member of the Global team looking after the Newedge Project Portfolio globally. The position will lead the implementation of Project Management best practices in the Region, and facilitate and support high quality project outcomes across the region, whilst aligning with Global standards and supporting Global projects originating in the Regions(s).

Support the Global Head of SPSO in all aspects of the Global Project Portfolio remit

Ensure and monitor the Region’s project portfolio’s alignment to Global and Regional Project Roadmap

Ensure that appropriate portfolio, program and project Governance models are successfully implemented and that these are supported and maintained by coordinated and balanced plans, activities and processes

Develop and maintain the appropriate templates, processes, tools, records and knowledge management that allows business units to effectively manage projects that consistently meet or exceed expectations

Ensure that coaching, mentoring and training of staff across the organization is provided for project, program and portfolio management and governance, and ensure there are always sufficient competent resources (internall y or externally) to satisfy the strategic needs of the business

Ensure the quality of individual projects and programs and ensuring the sponsors and business owners are fully aware of the risks, interdependencies, enterprise constraints and deviations from standards

Plan, monitor, manage and maintain the enterprise portfolio and regularly report to the Global Head of SPSO and the Global Project Committee on the project/program performance, trends, impacts and projections

Lead, manage, and facilitate regular program, project, and new business activity review meetings with senior regional executives to update the executives on progressand any issues and risks with programs, projects, and new business activities that will affect the region or that are being initiated and managed by the region.

The job holder will be expected to operate at a senior level, liaising effectively with Executive Management, and display considerable initiative and diplomatic skills in their work. They will be expected to solve problems independently as and when they arise, and advise others on finding win-win outcomes on conflicts.

This position is full-time managing the whole Project Management environment. Many of the key stakeholders will have other operational responsibilities and constraints on their time. This role will need to manage this carefully to ensure project work receives the required attention to deliver successful outcomes.

Lead regional resources of the Project Management Office, ensuring the professional development of capable Project Managers, their motivation and performance to meet the business needs

Seasoned professional in the sphere of portfolio management

Excellent Leadership skills coupled with people management skills

Flexible proactive attitude and open to change

Can do, solution orientated attitude with strong organizational and analytical skills

Experience in designing and delivering project management strategy, and ensuring alignment to the Project Roadmap

Strong relationship builder – skilled in negotiation, facilitation and influence, and with a collaborative mindset and attitude to build rapport and establish trust and credibility with clients and stakeholders

Extensive knowledge, including proven hands-on experience of building and implementing best-practice project management processes, including large-scale projects and integrated programs of work

Significant experience facilitating projects with full software development lifecycle and systems operations experience. Proven track record of simultaneously and effectively monitoring multiple complex projects and facilitating a successful delivery

Ability to utilize Portfolio management tools and processes and transform the output into Executive-friendly messages

Ability to articulate in terms stakeholders can relate to, the purpose of the Strategic Portfolio Support Office and value it brings to an organization

Ability to promote and embed best practice Project Management in the organization environment

Solid experience of process re-engineering

Excellent written and oral communication and presentation skills, as this person will be reporting and presenting to Senior members of the organization

A clear understanding of the differences between Project budgeting and accounting versus annual company budgeting and accounting. Understand the differences between cash and P&L impacts.

Good general management skills including an understanding of planning, finance and accounting practices and good commercial acumen

High levels of attention to detail, balanced by the ability to view the ‘bigger’ picture and therefore determine the materiality of any information.

Ability to understand and process multiple conflicting demands and subsequently prioritize, resource and communicate proposals to address them.

10+ years project management experience

5+ years of experience in a Senior PMO role

Bachelor’s degree or equivalent work experience

Expert in Project management methodology

Proficient in MS Office Suite (Excel, Word, Powerpoint)

Experience of HP PPM software


Reports directly to the Global Head of SPSO.
