The Capital Project Support group is integral to the J. Paul Getty Trust Facilities group and is responsible for the Getty Trust’s capital development and renewal, capital projects’ planning, design, construction, and project management—including, project planning, architectural coordination and code compliance; organization space utilization; Furniture, Fixtures & Equipment (FF&E).
Reporting to the Head of Capital Projects, this position independently performs varied and specialized administrative and analytical duties in support of the Head of Capital Projects and Capital Project Support group including administrative, line and staff managers and outsourced project or construction managers – responsible for overseeing the day-to-day administrative operations; develops budget projections (travel, supplies & services), and monitors expenses; researches, prepares data and/or gathers information for strategic planning and policy development; must have the analytical skills and the ability to draft and revise a wide range of documents; coordinates activities among departments and outside parties, contacts personnel at all organizational levels to gather information; and completes a variety of special projects, as assigned.
Work may be of a critical or confidential nature.
*Undertakes administrative projects, including coordinating Getty’s FF&E inventories and signage activities.
*Special projects may include but are not limited to assisting project managers and senior project coordinators in the implementation of their projects.
*Provides a broad range of high-level administrative support, including: coordinating meetings and reservations, complex scheduling, supporting events and travel, composing and tracking a wide range of documents, or preparing reports.
*Assist with Facilities Help Desk coverage, and work as a team with other Senior Staff Assistants.
*Coordinates with other administrative staff in implementation of departmental needs.
*Anticipates departmental administrative needs and develops efficiencies to minimize workflow disruptions.
*May assist with developing budget preparation (travel, supplies & services), and monitoring expenses.
*May perform a variety of routine accounting, data entry, filing, and other administrative tasks.
* High school diploma/GED; Bachelor’s degree strongly preferred * Minimum 4-5 years related experience *Prior experience preparing travel/expense reports preferred *Ability to multitask and prioritize *Prior experience using PeopleSoft, Microsoft Project and Microsoft Office preferred *Strong verbal and written communication skills and ability to manage changing priorities.
