Essential Functions

Perform routine secretarial functions such as: data entry, word processing and maintaining files.

Perform receptionist duties including telephone, mail pick-up, mail distribution and visitor(s) direction.

Acquire and maintain working knowledge of Site Procedures, office administrative practices and Facility technical terminology.

Responsible for ensuring that the plant administrative office operates efficiently and follows standard office practices.

Responsible for maintaining the plant filing system which includes personnel records, regulatory reports and records, engineering records and all plant correspondence.

Assist Plant Manager with cost and procurement controls, budget preparation and review, resolution of billing, reports and correspondence preparation.

Assist Plant Manager with public and employee relations by facilitating and maintaining communications at the desired/required levels. Position is responsible to contribute to maintaining continuity of office operations.

Responsible for generating purchase orders to vendors and in assisting with the expediting and delivery of orders as required as well as close out of purchase orders.

Maintain up-to-date certificates of insurance of subcontractors, fuel suppliers and other vendors.

Responsible for ordering, receiving and record keeping of uniform program.

Maintains and reconciles petty cash account and Imprest Fund

Maintains adequate inventory of office supplies.

Coordinates with Corporate Human Resources Department in providing assistance with employee benefits administration.

Maintains employee time sheets, vacation and sick leave records and coordinates with Corporate HR Department to ensure accuracy of payroll.

Responsible for confidential Personnel Files.

Maintains up-to-date employee data base for site.

Assist supervisors in scheduling and coordination of travel arrangements (as applicable) of employee workshops and technical training schools.

Maintain OSHA 300 log, workers’ compensation records and file necessary related reports.

Assist employees with medical arrangements as required for work related injury or illness.

Responsible for keeping safety a constant priority and promptly report any unsafe condition to the Plant Manger or Corporate Human Resources Department

Acts as a team member with all employees of GDF SUEZ Energy staff

Complies with all GDF SUEZ Energy policies and procedures.

Complies with all GDFSUEZ Energy site and corporate safety rules and procedures.

Other Functions

Carries out other duties as assigned.



Essential Physical Abilities

Ability to perform first aid and CPR.

Ability to meet highest attendance requirements.

Ability to use personal computer, calculator, etc.

Could involve some lifting and/or be able to move up to 20 pounds.

Ability to communicate effectively, both written and verbally.

Ability to handle multiple assignments on a timely bases with a high degree of accuracy.

Other Abilities

Working knowledge of bookkeeping and budgeting functions.

Excellent typing, word processing and record keeping skills.

Competency in spreadsheet applications.

Excellent telephone etiquette.

Good independent functioning and decision making skills.

Good organizational, prioritizing and time management skills.

Must have a valid driver’s license.

Education /Experience

Two year college degree in administration, secretarial and/or accounting and 2 (two) years work related experience OR 7 (seven) years experience in office administration.

High School Diploma (minimum)

Working Environment

While performing the duties of this job, the employee is not exposed to weather conditions.

The noise level in the work environment is usually moderate.

100% of the work is performed indoors.
