The position will provide clerical assistance to the College of Nanoscale Science and Engineering (CNSE) related to post-award financial management. Duties will include, but not be limited to:
  • Accurate and timely processing of all labor distribution activity forms for Research Foundation payroll, release-time appointments, and cost share appointments; inclusive of all labor schedules and distribution adjustments.
  • Assist with systematic certification and other clerical aspect of effort reports to ensure compliance with federal requirements.
  • Assist with clerical aspects of Accounts Receivable function as needed such as cash deposits and AR event creation.
  • Assist with timely review of payment registers to verify that payments were processed accurately and document payment file appropriately.
  • Assist with maintaining all department files related to labor distribution as well as award and payment documents. This task includes not only the creation of new files as appropriate, but also the maintenance and organization of such, inclusive of photocopying, filing, and refilling. File maintenance also includes periodic reorganization of files as necessary, as well as archiving records off campus.
  • Provide assistance with accounts payable processing and related transactions, inclusive, but not limited to invoice receipt and distribution, creation and modification of purchase orders related to non-procurable transactions, zero clearing invoices, category refunds.
  • Appropriately respond to or route inquiries from vendors, sponsors, CNSE finance staff, and/or other RF administrative staff.
  • Provide assistance to staff with various aspects of Division functions, including receipt and distribution of mail, as well as locating, copying, faxing, scanning, mailing, or shredding documentation.
  • Other duties as assigned. It is expected that this position, as all positions may at times be asked to assist in other duties not specifically outlined in this job description. It is expected that staff willingly assist their colleagues and management to the best of their abilities and within the expectations of their position. CNSE also reserves the right to reevaluate and reassign duties based on the changing demands of the Division, either permanently of temporarily.
Minimum Qualifications:

Incumbent must have earned a High school diploma or equivalent AND have three years professional clerical experience. Individual must possess the ability to effectively manage multiple priorities in a fast paced environment, have strong organization and communication skills, work well both independently and as a team member, and have experience with Microsoft Office or an equivalent software suite. Applicants must address in their applications their abilities to work with a culturally diverse population. This position is contingent on the satisfactory completion of a background investigation; this position may require annual background investigations.
