The Sr. Administrative Assistant will support the Manager of Administration and Managing Director relating to Accounting, Human Resources and Branch administrative functions:
Liaison with Property Managers and Financial Accounting as directed
Administer Invoices/Purchase orders for processing to Head Office
Coordination with Property Managers to complete monthly suspense reconciliation
Set up, process and monitor utility bills for payment
Prepare accounting and sales tax report for the management of parking revenues monthly
Cross train new staff and receptionist as required
Completion of Ad Hoc projects as required
Assists the Regional Director in the coordination of Property Management meetings & activities. Also assists Director with vendor relations, Branch & property staff & outside clients.
Provides Receptionist relief coverage for lunches & breaks on schedule with other Administrative Assistants.
Excellent MS Office skills, particularly MS Word & Excel. The ability to be extremely detail oriented and accurate in the preparation of correspondence & other reports. Excellent organizational skills required handling multiple priorities. Excellent communication skills required to maintain good working relationships with both internal & external clients.
Prior Commercial Real Estate experience helpful
College degree preferred and at least 2 years experience as an Administrative Assistant or 5 years related experience
