Serve as a support for the Team Supervisor in relation to managing the team resources and production, acting as a resource for issue resolution. Serve as a resource for the associates, and handling the functions that relate to timely and accurate processing of specific operational tasks within the Transaction Processing Teams.

Essential Duties and Responsibilities:

Investment Services/Census Processing:
• Timely and accurate investment of contributions
• Identify root causes and recommend solutions for investment delays
• Research unresolved issues or discrepancies by investigating or correcting data, and consult with necessary resources
• Communicate with client, broker, trustee and partner while tracking with appropriate documentation
• Ensure timely and accurate processing and loading of participant census information
• Analyze, identify and resolve census irregularities
• Complete fulfillment requests timely and accurately
Trust Reconciliation:
• Timely and accurate reconciling of trust accounts to ensure the investment process continues
• Analyze, identify and resolve outstanding balances
• Maintain daily and weekly reports by tracking and logging daily updates to the system
• Resolve all unresolved reconciliations identified by the BISC team on a daily basis

Distribution Services/Exception Processing:
• Timely and accurate processing of distributions, loans, hardship withdrawals, and rollover requests received from our clients
• Timely and accurate processing of QDRO requests received by our clients which includes:
• Complete review of QDRO court order and QDRO request form. Must be familiar with QDRO terminology.
• Contact client for inconsistent/incomplete requests
• Perform QDRO calculations as ordered in QDRO document to set up Alternate Payee account
• Process Alternate Payee distribution requests as indicated on QDRO request form
• Research and resolve outstanding issues as it pertains to Distributions processing, daily QC and verification of Trust partners Plus files
• Timely and accurate production and distribution of 1099R’s, RMD’s, Force Outs, CDP and any other cyclical events
• Review all distribution requests processed from prior day against WyStar to ensure tax records and payouts were properly created
• Research and resolve issues related to balancing files

General Duties and Responsibilities across all Operational functions:

• Is able to perform and is proficient in all tasks listed above for Investments, Trust Reconciliation and Distribution Services
• Serve as the unit training resource for processing investments, census, distributions, trust reconciliation and data entry tasks
• Serve as the support to Supervisor in managing special projects, handle day-to-day operations, and assist as assigned
• Act as an internal resource for the team
• Manage deadlines – work within allotted time frames
• Provide input to Management on client issues, escalated potential risks that impact either our ability to provide service satisfaction and/or financial liability
• Represent ASCENSUS in a professional manner through use of professional format and tone in verbal and written communications
• Resolve internal and external client issues by responding to all correspondence within communicated and departmental standard timeframes
• Collaborate with team members to continuously improve processes and how to meet team goals and objectives
• Improve operation of unit by reviewing processes and making recommendations for improvement as needed
• Assist internal clients with service or processing issues by providing professionalism and accuracy within a designated time frame of receiving a request
• Meet expectations of job by attendance, punctuality as indicated in the employee policy handbook
• Provide management reporting as required by partner
• Achieve service level goals identified by each financial partner
• Participate in audit activities and cyclical events as required by partner
• Performs other duties and/or special projects as assigned

Minimum Requirements:
• Associates or Bachelor’s Degree or equivalent work experience
• One – two years minimum experience in the retirement plan industry required.
• Experience with Lotus Notes Preferred
• Excellent analytical and math problem solving skills
• Excellent written and verbal communication skills required
• Detail oriented with strong organizational and time management skills required
• Ability to handle multiple priorities and meet deadlines in a fast paced environment
• Two – three years experience with MSOffice software applications, specifically Excel required, Access preferred
• Ability to work overtime to meet the needs of cyclical trends of the business
• Ability to work in a team environment to ensure the common goals for the team. Provide exceptional customer service to our clients
• Ability to escalate issues to the appropriate levels within an organization
