The Staff Assistant, Annual Giving, Classes reports to a Senior Associate Director, Annual Giving, Classes and is responsible for providing secretarial support to three Assistant or Associate Directors and others, as assigned. Primary responsibilities include tracking and updating reunion fundraising progress; assisting with communications to volunteers, other alumni, and internal staff on the reunion campaign and other matters; scheduling meetings with prospects (arranging visits and distributing itineraries to internal staff); preparing pledge transmittals, acknowledgments, and other correspondence; answering telephone and email queries; tracking volunteer committee activities; assisting with the preparation and staffing for meetings and special events; and maintaining files, databases, and reunion records.
*High school diploma
*A minimum of one to three years of increasingly responsible secretarial and office experience in a professional setting
*Accurate typing of 50 wpm
*A thorough knowledge of Windows based personal computers, including MSWord, MSExcel and FileMaker Pro.
*Superb proofreading, time management and organizational skills
*Strong attention to detail
*Commitment to accuracy
*Excellent spoken, written and telephone communication skills
*Discretion in handling confidential information with tact and professionalism and a service-oriented attitude are all essential.
