Working under supervision and often with a sense of urgency, performs Administrative /Clerical functions in support of staffing advisor and staffing process including: emailing information to candidates, scheduling interviews, greeting and escorting candidates, scanning and filing staffing documents, preparing expense reports and maintaining staffing related data such as recruiter contracts.
Responsibilities / Duties:
Coordinates candidate interview activity. Communicates with interview team and candidates regarding interview availability and scheduling. Creates interview schedule. Greets and escorts candidate through interview schedule.
Clerical duties in support of staffing process. Posting position with external websites and sources. Generates offer letters. Creates employee files. Scans and uploads documents into employee record. Follows up with drug screen and background check agencies. Creates expense reports for candidates.
Assists Staffing Advisor with maintaining accurate information in applicant tracking system (ATS). May disposition candidates, sort candidates by assessment scores or communnicate with candidates through system-generated emails. Maintains database of current recruiting contracts.
Assists Department Administrative Assistant with completion of New Hire paperwork and New Hire Orientation.
Arranges for testing at off-site testing facility or proctors exams given on-site. Solves technical issues and ensures candidate complies with test-taking protocol and completes necessary exams.
Supports University Recruiting program by working with university career centers to post positions, coordinate on-campus interviews and assist candidates through the hiring process.
Performs other duties as assigned (no more than 5% of duties)
Typically requires a High School diploma/GED equivalent plus 5 years administrative experience in Staffing or Human Resources function. College courses and vocational training is preferred. Intermediate computer proficiency with current business applications. Must be extremely detail-oriented and produce error-free work. Must have exceptional customer service skills and attitude. Must have excellent communication skills including written, verbal and telephonic.
