TITLE: Staffing Specialist
REPORTS TO: Global Staffing Manager
DEPARTMENT: Human Resources (HR)
LOCATION: Boston, MA
COORDINATES WITH: Internal stakeholders: Staff members, hiring managers, executive leadership team, internal and volunteers; External Stakeholders: candidates, third party vendors, colleges and universities, executive search firms and temporary staffing agencies.
PURPOSE OF POSITION: The Staffing Specialist supports the Global Staffing Manager and partners with all departments and regions to ensure that all staffing activities operate seamlessly to create outstanding customer support.
PRIMARY DUTIES AND RESPONSIBILITIES:
Under the direction of the Global Staffing Manager, provides seamless support for all aspects of staffing activities. These activities include:
oExecutes all phases of the recruitment and hiring process including providing direction to manager on the hiring process and use of Jobvite system.
oPosts jobs, internally and externally
oPosts position ads, monitors activity in JobVite
oCalculates metrics (e.g. advertising costs, resumes received , sources positions) producing reports on a regular and timely basis
oSupport for employment immigration matters including preparing standard Visa letters, interacting with immigration attorney, coordinating employee documents, etc.
Schedules interviews, screens candidates, conducts reference checks, processes 3rd party background checks in timely manner
Sets up interview space and required equipment
Ensures all recruitment processes are complete
Supports Intern and Volunteer programs through manager training on Human Resources policy for these programs, participation at job fairs and intern information events
Tracks grant-funded and temporary employees work assignment end date by following up with managers and ensuring that the employee is either terminated in a timely manner or any extension of work assignment is properly entered into Jobvite and approved.
Participates in the general administration of the HR office related to recruitment including maintaining and updating HR records, generating accurate and timely reports, monitoring compliance with employment and labor laws, maintaining accurate records and Jobvite system.
Contributes to outreach strategy, systems development and refining recruitment programs, tools, and process.
Supports the Employee Referral Program providing managers with process for securing employee referral payments.
Performs other related duties as assigned.

Bachelor’s degree or commensurate experience in a field related to Human Resources.
Experience and Core Competencies:
Minimum of three to five years in Human Resources or other internal support function t or equivalent experience in a professional work environment.
Strong verbal and written communication skills.
Ability to multi-task and work in a fast-paced, limited structured environment with a diverse and changing workload.
Adept interpersonal skills; strength in developing and maintaining client management relationships with strong interpersonal skills and a basic understanding of user friendliness and customer service.
Good organizational and project management skills.
Experience recruiting internationally preferred.
SPHR or GPHR certification.
Proficiency in oral and written Spanish and/or French.
