The Student Services Coordinator is responsible for ensuring that the day-to-day operations of Fuller Theological Seminary in Texas (Houston) are performed. The Student Services Coordinator is an integral part of the administrative team and has a significant impact on the delivery of services. As such, the Student Services Coordinator exercises independent judgment in operational matters.

Essential Functions:
  • Reception
  • Receive/direct phone calls and greet guests in a pleasant and effective manner
  • Manage incoming/outgoing postal mail and deliveries
  • Maintain an orderly and welcoming reception area
  • Monitor the supply and ensure the accuracy of printed materials including stationery, brochures and other publications
Student Services:
  • Prepare and maintain individual files for applicants and current students, establishing and maintaining systems to ensure that they are current, safeguarded and routinely audited
  • Advise inquirers and students of policies, procedures and deadlines as they relate to admissions, registration, academic advising, field education, financial aid, etc.
  • Prepare materials for each first class meeting including but not limited to name cards, rosters, and handouts
  • Resolve problems with students’ accounts
  • Manage and direct student registration
  • Communicate quarterly registration deadlines to new and returning students
  • Create and distribute material pertinent to registration, including providing registration pins as instructed by the Director
  • Identify and/or respond to registration problems and resolve in a timely manner
  • Monitor the status of the registration process (including field education) on a daily basis, reporting course enrollments to the Director
  • Maintain the student database, reconciling it daily according to changes in registration
  • Identify and communicate with students who are on the verge of being made inactive in order to encourage registration
Academic Advising:
  • Screen requests for academic advising; provide basic advice and record conversations with students in the iCare database
  • Assist the Director by completing individual degree program sheets in preparation for advising appointments
  • Respond to and follow up on requests for Academic Petitions, Financial Petitions, Program/Status Changes, etc.
  • Ensure the Fuller Texas common areas are well kept
  • Assist in maintaining the campus building at large by monitoring facility conditions, reporting maintenance needs to the property managers, and ensuring that the facilities project a welcoming atmosphere
  • Maintain the classrooms and library, checking them daily to ensure adequate supplies and orderliness
  • Oversee the maintenance of office machines and related supplies
  • Maintain office and classroom supply inventory
  • Complete and submit facility requests for after-hours use of the building
  • Master multiple databases, serving as resident expert to ensure that student, donor, faculty and church records are detailed and current
  • Maintain public Google calendar
  • Provide support to adjunct faculty including but not limited to classroom setup, media requirements, travel arrangements, and expense reporting
Meetings and Special Events:
  • Provide hands-on support in the planning and preparations for small and large-scale events including preparing invitations, managing responses, scheduling vendors, and providing follow-through during the events
  • Prepare materials, place catering orders and provide follow-through on all aspects of hosting board and committee meetings
  • Attend regular staff meetings and, when needed, attend board and/or committee meetings
Development Support:
  • Assist with development related tasks including but not limited to correspondence, bulk mailings, database management and reporting
  • Assist with fundraising event planning and coordinating
  • Oversee creation of publications that increase awareness among donors and donor prospects
Other Responsibilities:
  • Make recommendations for improvement
  • Other duties and responsibilities assigned by the Director or Associate Director
Knowledge & Skills Requirements:
  • Bachelor’s degree or equivalent
  • Three plus years of experience in an administrative role
  • Commitment to extraordinary customer service
  • Outstanding organizational skills, an attention to details and the ability to multi-task
  • Communicate clearly, concisely and comprehensively
  • Strong computer skills including expertise in Microsoft Word, Excel and PowerPoint
  • Proficiency with the mail merge process involving multiple databases
  • Experience with FileMaker Pro and Adobe PageMaker a plus
  • Ability to effectively prioritize tasks with limited supervision
  • Ability to respond to and manage requests of more than one supervisor and work as a team player in a demanding work environment

  • Ability to sustain a high level of production and a significant level of physical activity
  • Must be able to lift up to 25 pounds
