The Student Services Coordinator promotes information-sharing between MBA students, faculty, staff members and others at or associated with the Rady School of Management. This is a particularly important role as many of our students work full-time and are on campus a limited number of days per month, so organized, complete, and accurate communication hubs are essential to student satisfaction and success. This position organizes, prioritizes, posts, and relays information using our internal website, email, in person, and phone.
An important component of this position is managing the logistics and serving as the point of contact for an ongoing speakers series, commencement ceremonies, and for other special student activities. The position also responds to basic questions related to course schedules and other miscellaneous questions posed by our MBA students.
Work schedule will be Monday - Friday, 10:00 AM - 6:30 PM, and may include some pre-scheduled Saturdays. Will be required to work non-standard schedule during some weeks of the year (i.e. commencement week, new student orientation week).
Experience multi-tasking in a high energy, customer service office environment. Excellent customer service skills.
Experience using a complex online calendar to schedule people or resources .
Strong experience with logistics associated with organizing activities, events, speaker series, or something similar. Experience with outreach to vendors/speakers, scheduling, providing information, directions; drafting terms of agreement/contracts/invoices; experience preparing presentations; experience anticipating logistical issues.
Strong experience creating & using spreadsheets to organize non-financial information. Experience with PowerPoint; creating documents, sharing files, data entry and other administrative support duties.
Experience providing information to customers, answering questions in an accurate, professional, and welcoming manner.
Excellent grammar and proof reading skills and experience drafting emails and other business communications.
Experience supporting and working with high level business, university, or community leaders, or professionals.
Experience maintaining strict confidentiality.
Experience anticipating problems and taking appropriate steps. Experience with on the spot troubleshooting: determining the cause, solutions, timing, involved parties, and sequence of actions to be taken.
Experience with online learning systems such as Blackboard, WebCT, or similar program; experience posting on or editing a website.
Experience processing invoices; experience creating simple financial reports, or similar documents.
