• Greets and assists student walk-ins (average about 40-50 per day) providing information on OIP programs, policies and procedures, dates, costs, eligibility application deadlines, visa requirements, etc.
• Fields and directs all inquiries as appropriate(walk-ins, emails, telephone calls)
• Opens mail before distribution
• Prepares work orders all maintenance repairs, copier and IT assitance
• Orders and keeps inventory of office supplies and other materials (Bi-Tech)
• Orders CDW hard/software when necessary (Bi-Tech)
• Processes all printing by Graphics Lab, prints small flyers for department distribution
• Secures approval from Student Life to post and/or distribute study abroad flyers or posters for publicity
• Creates Office Events Calendar (Info sessions, Pre-departure, etc.)
• Reserves rooms/equipment as required for all OIP sessions (information, Orientation, Pre-departure)
• Distributes all flyers, posters for campus recruitment
• Assists at Student Information sessions and Pre-departure meetings
• Scans students’ documents: passport face page, advisement sheets, acceptance letters form Resident Directors in Italy, Student Health and Emergency notification forms and all materials needed for an electronic student data file
• Scans receipts, vouchers, and payments for Bi-Tech processing for all study abroad programs;
• Works with Director and other staff to complete other routine tasks
• Responsible for processing all international shipping/mailing items, keeps accessible receipts
• Manages office requests to IT and Buildings and Grounds
• Updates website/social media with messages, deadlines and event information
• Other duties as assigned

High school diploma and completion of two years in an accredited post-secondary institution of learning and two years of appropriate experience. Experience working in international programs or related fields preferred. Computer experience with an emphasis on Microsoft Office Suite software required. Quality customer service skills, excellent telephone manner and the ability to work well under pressure are necessary.

NOTE - This position is only approved until June 30, 2013
35 hours per week, Monday through Friday
Schedule subject to change based on needs of the department
Schedule 87/0 ($33,158 per annum)
