The Speaker Coordinator will assist the Manager of Speaker and Congressional Affairs in creating relationships with speakers and organizations in order to acquire speakers for all Envision programs. Relationships will include Capitol Hill and Congress as well as government and private sectors. The Coordinator will be responsible for the logistics for the program team (e.g. maintain calendar and database).
Book assigned speakers and site experiences at least two weeks in advance. All speakers and site experiences should be of high quality and meet conference goals.
Build positive relationships with speaker and site visit contacts.
Create all speaker bios, briefing sheets and logistics sheets to company standards.
Accurately maintain and update conference status documents and schedules.
Oversee Congressional appointment process: create and assemble packets to be delivered to House and Senate offices, ensure student appointments solidified, and create Capitol Hill Day materials.
Serve as liaison to program/field teams for assigned events. Ensure that all assigned speaking events and site visits are delivered to customers in accordance with company requirements and expectations.
Assure that all invoices are paid within two weeks of receipt and are logged. Adhere to petty cash procedures with all receipts and envelopes returned within the program manager’s set timeframe.
Ensure that program expenditures are within conference budgets.
Degree & Certifications (required and preferred):
Bachelor of Arts or Science degree required
Skills (required and preferred):
Strong communications skills
Detail oriented with ability to prioritize and work on various projects simultaneously
Able to work extended days and hours as dictated by program needs
Ability to work well in a team environment
Serve as a professional representative of our programs and team both internally and externally
Ability to work on a non-partisan basis
Prior experience working with specific age group of program participants preferred (high school aged students)
Demonstrate professional flexibility to adjust to shifting business needs.
Anticipate potential problems and develop contingency plans.
Exceptional facility with Microsoft Office Suite, as well as working in multiple programs simultaneously, and office equipment, including photocopiers
Knowledge (required and preferred):
Envision program experience (strongly preferred)
Minimum number of years experience and in what area of focus (required and preferred):
2 years professional experience in an office setting (preferred)
Require background in at least one of the following fields: Politics, Event Management, Experiential Education, Advocacy, Public Affairs
2 years customer service experience (preferred)

Reliable transportation needed for frequent out of office travel to program sites.
