: Our Tennis Division is looking for an organized and motivated Coordinator. The principal responsibility of this position is to track and manage the division finances, assist with marketing initiatives and provide support to the Managing Director of Tennis and her team. The successful candidate must be able to prioritize assigned multiple tasks, work well under pressure, and succeed in a deadline oriented environment.
Responsibilities and Duties: • Responsible for working with all members of the division related to financials and acts as main contact with the corporate finance team • Maintain budget, track division expenses and revenue contributions • Generate financial status reports for division head and highlight any potential variances or areas of concern • Verify accuracy of any division invoices based on the agreement and initiate vendor payments • Prepare and track expense reports • Assist the division head with business development projects to include researching potential endorsements, industry trends and other assigned projects • Create and update client bios, client recruitment and sponsor presentations • Create and update social media websites for clients and Octagon Tennis • Assist with various client servicing assignments to include visa applications, hotel reservations and travel arrangements, coordinate international shipments and address other client needs • Maintain contacts both inside and outside the company, which may require use of discretion and a general knowledge of corporate operations and policies • Provide administrative support to the division head with duties such as answering telephone calls, arranging meetings and conference calls, managing calendar and electronic contact lists and respond to internal and external general inquires • Maintain up-to-date filing system for quick reference on clients, contracts, projects, etc. • Schedule travel arrangements for division head and team members
Required Qualifications : • Undergraduate degree in a related field • Internship experience in a corporate setting; minimum of one year of relevant work experience is preferred • Highly proficient with Microsoft Office (including Word, Excel and PowerPoint) • Strong organizational skills, attention to detail and ability to coordinate multiple tasks simultaneously • Excellent written and verbal communication skills • Ability to communicate with internal and external clients at all levels articulately and with tact, poise, courtesy and diplomacy • Must be available to work after normal work hours and on weekends and holidays as necessary • Knowledge of tennis industry preferred
