SUMMARY : The Coordinator Tour & Travel is responsible for booking rooms for tour & travel groups.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Generates room reservations from leisure groups, wholesale agency accounts, and ad hoc bookings. Researches sources to analyze current offerings, changes in group profiles, industry trends, and airline schedules. Develops competitive rates and packages for group sales and bookings.
Entertains potential clients to promote the property as a preferred destination. Participates in professional associations and convention authority activities to remain apprised of fluctuating market conditions and trends.
Coordinates group tour requirements, arrivals and room lists. Acts as a liaison between hotel and group agents. Controls and enforces cut-off dates and group cancellation policies. Oversees group arrangements, resolving any logistical problems and making adjustments as necessary.
Conducts site inspections with group representatives and individual agents.
Assimilates information from multiple resources such as periodicals, advertisements, travel packages, and airline schedules in order to monitor industry trends and analyze the impact of competitive offerings.
Develop sales packages in various combinations of lodging, meals, and entertainment options.
Reviews customer complaints and resolves problems.
Arranges for coupon printing and distribution.
Attends departmental staff meetings to advise the Hotel Sales department on tour and travel activities and the status of group bookings.
Writes sales reports on room bookings and cancellations, and tabulates data to compile necessary reports.
Performs follow up activities on group accounts. Reviews billing to verify correct rates and accounting. Evaluates group and standard of services rendered. Maintains correspondence and writes thank-you correspondence, initiating contact for repeat business.
Performs additional duties as assigned by the Hotel Revenue Manager.

EDUCATION and/or EXPERIENCE
Bachelor’s Degree and two years of related experience in a similar hotel or casino, and/or equivalent combination of education and experience.
CERTIFICATES, LICENSES, REGISTRATIONS
Must be able to obtain any Federal, County or Local licenses and/or registrations, if applicable.
Must be able to effectively communicate in English.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Working knowledge of Microsoft Office Product.
