Prior print traffic background in an advertising agency preferable

Learning and understanding the BIG PICTURE of the agency operations along with main client approval stages.

Managing Up. Keeping their respective Traffic Manager up to speed on all daily account activity

Following through of print production jobs from initiation through completion. Includes tracking of materials and communication amongst team members while utilizing operating systems.

Thorough routing of job through the various departments , in the proper routing sequence, and ensuring approvals of all parties while abiding by individual departments' procedures.

Maintaining efficient traffic folders. Left pocket holds references, spec sheets, job request form, photocopy of client changes, and other pertinent job info. Right pocket holds all readers

Coordinating weekly status meetings while establishing basic timelines and workload for agency personnel

Updating and distribution of weekly status reports

Ensuring ample coverage is had by all departments that is needed to complete job expectations

Ensuring job stickers are being fulfilled thoroughly by having departments sign off on respective tasks as jobs are in routing process

Constant knowledge of job file and folder location

Completing time sheets in a timely manner

Constant updating and communication throughout respective departments regarding progress of jobs, workflow, and problems

Opening job numbers for assigned products in timesheet and billing programs

Initiating job folders including fulfillment of task sticker, spec sheets, routing forms, and job request form

Communicating and documenting on Mac Output Record form, each department hours that exists on job estimates

Creating internal timelines for individual projects

Ensuring all departments are given ample time to complete their required tasks

Acting as liaison for teams to resolve all concerns in a diplomatic manner

Obtaining manuscript package from Copywriter, completing Manuscript Record Form by indicating due date and required number of references, and begin routing process according to

established procedures

Obtaining layout and spec sheets from Art Director and begin routing process according to established procedures

Indicating proper round number, stage and location of file on Mac Output Record Form when routing layout

Completing necessary forms for client’s submission package

Ensuring job submission package to client is thorough and completed to their requirements

Photocopying and documenting status of any and all elements of jobs that leave the agency

Executing Internal Approvals and Securities stage by ensuring team members are fulfilling their respective tasks: DTA set-up approval has been completed Working dummy has been constructed by Studio Art Director updated spec sheets, finalized and approved artwork Production approved set-up, spec sheets, and dummy

Simultaneous routing of collateral pieces for consistency

Coordinating Production Meeting with Client Production, CDM Production, AD, AE, DTA, Traffic

Receiving client changes from Account Executive/Client, photocopying and documenting changes while ensuring proper version of layout is being updated

Obtaining and documenting on status reports and job sticker, client’s number that is to be printed on jobs

Executing client changes while understanding and preparing for next submission stage

Limiting job routing to 3 rounds for each stage of execution

Informing all team members of client’s final approval and due date of prepress

Ensuring final department approvals (desktop set-up, editorial spell-check, hi-res art, dummy construction, etc) and tasks(sign-offs, updating of spec sheets, color breaking, art proofing, art usage, etc) are completed prior to prepressing

Allowing ample time for desktop dept to complete prepress and production dept to approve final package

Photocopying and documenting date and destination of prepress Package

Executing applicable routing procedures for printer proofs

Effectively handling all job completion and follow-up steps

Obtaining and distributing appropriate number of printed samples to team

Filing of printed samples in manila envelopes and labeling them according to agency job number, client job number, and job description

Filing of year old job jackets and printed samples in transfile boxes.

Purge and prepare for off-premise storage of year old job jacket transfiles

Establish relationship with client counterpart by communicating with them on a daily basis and assuring them that Traffic will better serve their needs versus Account Executive
