Under limited supervision, administer specific operations within the student records function including processing official and unofficial transcripts, enrollment verifications, degree verifications and/or other related activities. Ensure compliance with the Family Rights and Privacy Act and all other applicable laws and regulations. Perform administrative duties that directly relate to the day-to-day functions associated with the Office of the Registrar and perform other duties as assigned
Job Responsibilities:
  • Provide customer service to students and staff via phone, email and in-person
  • Manage all aspects of official and unofficial transcript processing, as well as enrollment and degree verifications
  • Evaluate transcripts for discrepancies, research issues, and resolve as necessary; common erroneous information include major, transferred hours, name of transferred institution, academic standing, as well as incorrect credit hours, and GPA.
  • Perform high-detail analysis and routine data integrity audits and consistently reviewing and analyzing data looking for errors and ensuring consistent data accuracy, and validating accuracy of data migrated from the Legacy System (C2500)
  • Maintain student and transcript records, generate reports, and compile statistical information
  • Ensure the conformity of record release procedures to registration management policies and legal requirements governing the confidentiality of student records including FERPA and all other applicable laws and regulations
  • Troubleshoot registration errors, research, respond to record appeals or inquiries
  • Work closely with the Registrar to develop transcript and verification process improvements, procedural documentation and production timelines
  • Process Name Change Forms, evaluate AP/CLEP scores, assist with SOAR (Student Orientation, Advising and Registration)
  • Closely oversee assistance provided during demanding and peak periods

  • Associates degree or some college
  • Three (3) years records maintenance experience;
  • Five (5) years experience with PC computers including use of Microsoft Office (Excel, Word, PowerPoint)
  • Excellent customer service and Interpersonal skills
  • Awareness of student record security guidelines and procedures and FERPA requirements
  • Ability to work within a fast-paced environment with changing priorities, critical deadlines and the need for multi-tasking
  • Excellent organizational skills and the ability to prioritize work assignments
  • High degree to accuracy and an uncompromising attention to detail
  • Office of the Registrar experience or work experience in an academic setting
  • Experience with BANNER student information system
  • Office of the Registrar experience or work experience in an academic background
  • Other related experience that can demonstrate the ability to acquire the skills necessary to administer complex office functions related to the management of high-detailed data
