Associates Degree Preferred

  • 40 Hour Unit Coordinator Position-shifts will include both day and evening hours and weekend/holiday rotation


    Under minimal supervision and according to established policies and procedures, the Unit Coordinator coordinates all patient and unit activities through a variety of secretarial duties. Serves as a liaison with Nursing Leadership and other Hospital departments to assure communication flow between all areas. Coordinates efficient operation of the nursing unit through the performance of effective secretarial skills.


    High school graduate with additional specialized knowledge of medical terminology

    Associate's degree preferred

    One to three years clerical experience in a health care setting preferred

    Computer skills required

    Job Duties:

    Job Knowledge/Skills

    Demonstrates proper use of equipment and supplies according to established procedures

    Assures equipment is maintained in safe and proper working order

    Adheres to Department/Hospital policies and procedures in performing duties and assignments

    Acts as unit receptionist; greets, directs and assists all persons arriving on the unit

    Performs administrative duties on a nursing unit according to Patient Care Services Department policy and procedures, as observed by Director and Clinical Leader

    Compiles unit based statistics as required by Director

    Answers multiple phone lines promptly and courteously and takes accurate messages and delivers them to the appropriate patient, nurse, MD, or family members in a timely manner

    Accepts diagnostic reports via telephone as necessary and delivers reports to Clinical Leader/Charge Nurse

    Documents vital signs, I/O and weights on graphic sheets and records any allergies or ADR on medex and kardex, and places ADR sticker on front of patient chart

    Opens, sorts and distributes incoming mail and files as appropriate

    Files Lab and Diagnostic patient information in the patient record, after review by Clinical Leader/Charge Nurse. These include but are not limited to, X-ray reports, EKGs, MRI reports, labs, H/Ps, consultation notes

    Initiates assignment sheets via computer, fills in accurate staffing for current shift. Initiates shift to shift report sheets via computer and presents to Clinical Leader/Charge Nurse.

    Transcribes physician orders accurately and in a timely fashion. Enters orders into computer for all patient testing as ordered by physician

    Reviews patient's record daily: Labels all pages with patient identification label, Adds additional forms when necessary, Thins patient records when necessary, Recopies medexes as necessary, Initiates lab sheet daily: Checks daily labs per patient

    Obtains lab results and records on lab sheet verifying patient account number and name, and reports all results to Clinical Leader/Charge Nurse

    Obtains results from other facilities as necessary

    Reviews pre-op medical record and ensures the following information is present prior to verification by RN: History and physical, Lab results, Surgical consent form signed and witnessed, Medication record, Other diagnostic testing (Radiology, Cardiology, etc.), Old records, Labels, Obtains missing information as necessary, and notifies nurse if information is unavailable

    Works closely with Case Manager to determine patient's disposition. Obtains clinical resume from Medical Transcription once dictated by physician. Abstracts and photocopies patient record when necessary, in full compliance with established confidentiality policy, for transfer to other facilities

    Enters routine patient charges via computer for proper Hospital billing when and where applicable

    Maintains updated policy manuals for Director and staff

    Promotes cost containment through proper ordering of equipment and supplies:

    Assures delivery and proper storage of stock and supplies

    Maintains established par levels of all equipment and supplies

    Obtains equipment and supplies from other Departments as requested by Clinical Leader/Charge Nurse

    Updates the Communication Board with new orders, or any important information regarding patients and/or patient care

    Assists in coordination of patient discharge/transfer as requested by Director/Clinical Leader/Charge Nurse:

    Notifies appropriate Departments of patient discharge/transfer (enters pending discharge order into computer for all discharges)

    Notifies receiving area of supplies and equipment needed

    Assembles patient record and nursing documentation for in-house transfer including medex, kardex, old records, respiratory medex, and medications

    Completes projects as requested by Director and Clinical Leader

    Prepares PCS report sheets and classification tools for PCS office

    Functions appropriately in emergency situations by placing phone calls and directing personnel and visitors, as observed/requested by Clinical Leader/Charge Nurse

    Acts as liaison between nursing staff and other Departments to facilitate the coordination and delivery of patient service

    Arranges appointments for patients, as necessary

    Maintains patient confidentiality by allowing only authorized persons access to patient records.

    Patient Advocacy/Customer Relations

    Respects/protects patient's right to privacy, confidentiality, and other rights as defined in the patient's Bill of Rights

    Reflects caregiver philosophy in performance of duties that the patient is central to what he/she does

    Answers patient call lights when necessary and reports patient needs to attending nurse in a timely fashion
