VOLUNTEER COORDINATOR

Location: Methodist Dallas Medical Center
Department: Volunteer Services
Schedule: PRN
Shift: Day
Hours: 1600-1900

PRN flex schedule approximately 15 hours per week.

Job Purpose: Responsible for the supervision of the Junior Volunteer Program; including interviews, schedule placement, tracking, fundraising events, field trips, annual National Night Out, and award receptions. In the absence of the Director, oversees the day-to-day operation of the department, including managing the volunteers and staffing essential positions. Provides administrative and program support to the Volunteer Services Department. Develop junior volunteer placements to meet identified needs in Methodist Charlton Medical Center departments, and to provide a place of volunteer service for persons to contribute their time and talents; obtain and retain an adequate number of competent and satisfied volunteers to augment the services of Methodist Dallas Medical Center’s personnel.

Education

High school Diploma or Equivalent required

Two years of college preferred

Related Work Experience and Other Skills

Able to follow oral and written instructions

Able to professionally and effectively communicate (orally and in writing).

Able to work in a fast paced, hectic environment handling stress in order to meet deadlines.

Demonstrates accountability for own actions.

Demonstrates compliance with hospital dress code.

Demonstrates initiative, is a self starter. Is able to work independently, prioritizing and organizing workload effectively to complete tasks within the time frames delegated.

Demonstrates understanding of MHD guidelines and reference, Infection Control guidelines, and MHS safety guidelines.

Flexible and adaptable to work schedule and any changes that might occur

Maintains a professional approach in all situations

Maintains confidentiality of patient and business information

Previous volunteer experience preferred

Proactive not reactive, analyzes problems accurately, develops recommendations and takes appropriate actions to solve problems.

Strong leadership ability

Utilizes multi-line telephone system

Work Experience: 2 years experience in a hospital environment preferred

VOLUNTEER COORDINATOR

Acts as the representative of the Volunteer Services Department in developing and maintaining public relations with volunteer staff, hospital staff, and the community; including coordinating special function as related to the department with internal and external groups.

Coordinates and conducts orientation of new volunteers.

Coordinates recruitment process for volunteers. Coordinates interview and hiring process, including medical clearance (TB skin testing, MMR vaccine & Chicken Pox verification).

Ensures the completion of competency packet and inclusion in volunteers personnel file and computer file; and oversees schedule reassignment when needed and fill department specified vacancies.

Maintains coverage and cross trains for essential areas such as information desk, patient floors, and ambassadors.

Maintains efforts to promote Best Service, Best Clinical Quality, Best Place to Work, and continually improve patient satisfaction efforts.

Maintains volunteer records, files, and schedules through Volgistics Database system, Microsoft Word, Microsoft Office, and Microsoft Excel Files.

Participates in planning and implementation of budget and identifies process improvement related to department.

Provides routine office support for Volunteer Department including handling correspondence, distribution of mail, phone calls, organization and appearance of office, supervising and assigning volunteers to assist with these tasks.
