To provide assistance to the Highway Construction Careers Training Program Coordinator and other programs located at the Adult Education Center with communications, preparation of course materials, testing, handbooks and maintain inventory, bookkeeping and order supplies.
Description of Essential Functions:
1. Acts as receptionist to public, students, and staff 2. Answers, directs, and assists incoming calls 3. Collates and copies materials for instructors and staff 4. Receives and delivers messages and mail to instructors and staff 5. Prepares bulk mailings of materials 6. Assists instructors scheduling meetings 7. Keeps inventory, budgets for, and orders supplies for faculty 8. Types and tracks purchase orders and completes credit card reconciliations for supply purchases 9. Types course outlines, quizzes, tests, handouts, presentations and surveys for faculty 10. Prepares tests, lab manuals and handbooks, requiring extensive proofreading for technical terminology 11. Assists with preparation of course materials for faculty 12. Maintains student files or building general files 13. Prepares correspondence to students 14. Assists in preparations for special events, receptions, or ceremonies 15. Other duties as assigned
Specific Functional Job Requirements
Education: High school or equivalent required; Prefer related AAS Experience: Minimum experience in an office/instructional setting, related experience in college setting preferred Knowledge: Business etiquette, general office procedures Skills: Excellent interpersonal, oral and written communication, and organizational skills; Microsoft Office XP; multi-line digital phone system; and word processing skills Personal: Detail-oriented, self-starter who enjoys relating to a diverse population of students, staff and public in a fast-paced work environment with multiple interruptions Physical: Ability to access computer screens and electronic student records in software packages currently used by the college; ability to input data; ability to lift and transport 50 pounds
Machines & Equipment Used: College mainframe software, PC Client Server environment, Windows platforms, Microsoft Office XP, Eudora Light/Outlook, Internet Explorer, presentation equipment/software, facsimile machine, multi-line digital phone system, form feed/flatbed scanner and copy machine and other educational related software
