Currently, we are searching for a DOT/Fleet Administrator to based out of our Oklahoma City office.
Purpose: Oversees all aspects of DOT administration and compliance for the company including Driver Logs, Driver Vehicle Inspection Reports, Driver Qualification Files, and Training. Assists the Fleet Manager in both the purchase and disposal of vehicles.
Driver Logs: Maintains file of logs for all drivers. Audit logs for violations. Returns logs with violations to drivers to correct, and tracks the correction and return of those logs. Scans logs into JJ Keller database. Runs Log Violations Reports and Missing Logs Reports and follows up on both with drivers and their managers.
Driver Vehicle Inspection Reports: Maintains DVIR file for all trucks. Audits DVIR’s for deficiencies and/or missing DVIR’s.
Driver Qualification Files: Maintains DQ Files for all drivers. Audits each file ensuring its contents comply with DOT regulations. If errors are found, corrects file contents as needed. Tracks and notifies drivers when medical cards or drivers license are about to expire to ensure that drivers remain compliant.
Manages Stock of DOT Items: Keeps a stock of Driver Logs, DVIR forms, Annuals, and medical supplies, to ensure we have a ready stock. Assists with locations ensuring fire extinguishers are not expired.
Ensures New Trucks are DOT Ready: Gets trucks weighed and books VIN inspection. Ensure truck has all DOT required items in the cab before the truck is used for work.
DOT Training: Trains drivers in Driver Logs and DVIR. Train drivers to understand the DOT rules company-wide and ensure their understanding and compliance. Is available 7 days a week to answer DOT questions and to assist with any needs the driver may have which may include: Log questions, DVIR questions, DOT compliance question, and permit questions.
Fleet Administration: Assists in vehicle acquisition including work with vehicle titles and permitting. Prepares bills of sale and vehicle titles for transfer. Orders Fuel Cards, reviews monthly fleet fuel invoice, and prepares exception report.

- Articulates clearly in both written and verbal form
- Attentive to accurate detail
- Fleet management experience preferred
