Position Summary:

Working under the supervision of the Chief Marketing Officer, the full-time Administrative Assistant oversees and manages all office procedures and other tasks as assigned by the Chief Marketing Officer. Salary is commensurate with experience.

Essential Functions:
  • Oversee all aspects of general office coordination
  • Maintain confidentiality in all aspects of client, staff and company information
  • Interact with clients, vendors and visitors
  • Answer telephones and transfer to appropriate staff member
  • Open, sort and distribute incoming correspondence including faxes and e-mail
  • Prepare Fed-Ex/USPS packages and mail for mailing
  • Perform general clerical duties to include but not limited to copying, faxing mailing and filing
  • Prepare, code and forward go!Mokulele invoices to CMO for signature
  • Prepare, code and enter go!Mokulele invoices into Oracle for payment
  • File and retrieve organizational documents, records and reports
  • Coordinate and maintain company keys and entry codes
  • Coordinate monthly parking pass payment for employees
  • Coordinate and direct office services for housekeeping and maintenance
  • Create modify documents such as invoices, reports, memos, letters using word processing, spreadsheet using Microsoft Office products
  • Set-up and coordinate meetings and conferences
  • Coordinate Non-Rev travel for company employees
  • Assist the Pass Bureau in Non-Rev travel documentation
  • Maintain inventory of office equipment and supplies
  • Support staff in assigned project-based work
  • May supervise volunteers and other support personnel
  • Assist in special events
  • Other duties assigned by the CMO

Minimum Job Requirements:

· At least three (3) years experience in general office responsibilities
· Knowledge of principles and practices of basic office management and organization
· Ability to work well either alone or as part of a team
· Computer literate
· Good writing, analytical and problem-solving skills
· Knowledge of practices of the organization, planning and general administration
· Ability to communicate effectively
· Ability to operate standard office equipment
· Ability to follow oral and written instructions
