Position: Practice Administrator

Job Summary: Responsible for total practice management of 1-3 locations with multi-provider group

Job Class: Exempt Administrative Employee

Experience Requirements:
1. Minimum of 10 years Practice Administrator Experience in Medium to Large Size Clinic
2. Experience Supervising All Levels of Staff, Including Physicians
3. Extensive Knowledge and Understanding of the following:
*Billing and Coding
*Credentialing and Contracting Process
*Human Resources Processes and Labor Department Compliance
*HIPAA and OSHA Compliance Regulations
*Complete Revenue Cycle
4. Have Positive and Professional Attitude
5. Proficient in Microsoft Office
6. Experience with EMR System (eClinicalWorks Strongly Preferred)
7. Self-Directed and Exhibit Advanced Leadership Skills
8. Excellent Problem Solving, Interpersonal, and Communication Skills
9. Ability to Travel to Various Clinics, Reliable Transportation is Required
10. Strong Understanding of Marketing and Branding Strategy Strongly Preferred

Education Requirements:
1. Must have Bachelor’s Degree in Business Management, Healthcare Management, or Similar Field
2. Master’s Degree Preferred
3. ACMPE Certification Preferred
4. LEAN Certification, or Similar Program Certification Preferred

Work Environment / Environmental Conditions:
1. Sedentary and usual office working conditions with little, if any, physical exertion or hazard; this job involves no greater exposure to blood, body fluids or tissues than would be encountered by a visitor; the normal work routine involves no exposure to blood, body fluids or tissues
2. Must be able to sit for 6 – 8 hours daily
3. Minimal lifting (up to 20 lbs)
4. Minimal bending

Job Responsibilities:
1. Supervision of All Departments within Medical Practice, with Previous Verifiable Supervisory Experience in the Following:
*Nursing Staff
*Front Desk
*Billing & Coding
*Human Resources
2. Responsible for Recruiting and Hiring Employees for Clinic
3. Codes and Approves All Accounts Payables for Clinic
4. Responsible for Operating within Clinic Budget and Providing a Monthly Budget Variance Analysis for Accounting
5. Performs Audits on Billing, Coding, Employee Records, and Medical Record Keeping to Ensure Compliancy with Company Quality Standards and State and Federal Regulations
6. Maintain All Aspects of Inventory – Set Controls, Vendor Selection, and Purchasing
7. Responsible for Monitoring Revenue Cycle and Ensuring Clinic Receives Payment for Services Rendered
8. Work with Governing Board to Design and Implement Marketing Strategic Plan
9. Maintain Employee Records, including Time Off Requests, Reprimands, and Evaluations
10. Responsible for Creating Staffing Schedule and Delegation of Hours and Responsibility
11. Organize Regular Staff Meetings and Agendas
12. Assure that All Staff is Properly Trained and Operates in Compliance with All Government and Other Regulatory Agencies
13. Responsible for All Aspects of Office Maintenance Including Cleaning and Repairs
14. Responsible for Office Equipment, Including Maintenance, Purchasing, and Arranging of Service
15. Mitigate and Resolve any Patient and/or Employee Conflicts
16. Perform Credentialing and Contract Negotiations on Behalf of Clinic and Hospital (if applicable)
17. Ensure Company Policies and Procedures are Followed
18. Responsible for All Facility & Equipment Inspections and Ensuring All Are Maintained Within Guidelines
19. Responsible for Ensuring All Physicians and Clinic Meet and Maintain All Certification Requirements, Including CME, CPR, and Licenses, etc.
