Performs a variety of accounting clerical and general clerical duties in support of the Operations and Maintenance Division, including entering and processing data; assisting with monitoring the Operations and Maintenance Division budgets; requisition coding and preparation; and assisting with payroll entry.
Position Responsibilities / Essential Job Functions:
Gathers data and prepares regular spreadsheets and worksheets of expenditures, purchase orders and blanket orders.
Posts and maintains spreadsheets for the division.
Reviews division invoices for accuracy of items/services ordered, account coding and budgeting.
Maintains and reviews the division budget through the use of JD Edwards software.
Contacts intra-department employees concerning budget problems and funds distribution.
Assists in data entry and analysis of work orders information in the computerized maintenance management system (CMMS).
Assists the Fleet Department with retrieving fuel consumption data for vehicles, running regular fuel usage reports, extracting vehicle data and importing into the Hansen database, using Fuel Master software.
Assists with Kantech Security system, including adding and removing access cards and maintaining accurate reporting of employee access cards and access levels.
Assists with general office work as needed: typing, filing, answering phones, etc.
Fills in for Office Services Specialist II and Dispatcher/Monitors as required.
May be deemed essential at any time.
Performs other duties as assigned or required.
Essential Skills and Experience:
Knowledge of basic bookkeeping procedures; basic mathematics; modern office practices and procedures; computer equipment and software applications related to assignment; English spelling, usage, grammar and punctuation; appropriate safety precautions, procedures, practices.
Ability to: learn to use a computer-based accounting system; collect, compile and verify accounting data; maintain neat and accurate files and records; make arithmetical calculations, postings and comparisons rapidly and accurately; communicate effectively, both orally and in writing; work cooperatively with others; work under pressure and/or frequent interruptions; organize and prioritize work; follow established codes, policies, and guidelines; perform work in accordance with safety regulations, guidelines and practices; work independently in absence of supervision; understand and carry out oral and written instructions.
One year of responsible clerical, accounting clerical or administrative/business experience.
High school diploma or GED.
Or combination of education and experience as described above.
