Job Posting Summary
The primary purpose of receptionist's job is to provide excellence customer service to clients requesting human resource services through the on-campus satellite office and general office support for the HR staff working in the office. This position is Monday through Friday, 6 hours per day.
Knowledge, skills and abilities required for this position.
Strong customer service skills. Ability to maintain confidentiality and respect privacy. Good organizational, and oral and written communication skills. Ability to operate standard office equipment, including multi-line telephone system. Proficient use of office desktop computer and common PC office software: word processing, spreadsheet, database, e-mail, and internet. Familiarity with multiple filing systems.
Typical education or training required for this position (including licenses).
High school graduation or an equivalent combination of training and experience
Length of time and type of experience required for this position.
At least one year in an office setting, with successful experience serving as receptionist or front office contact.
Preferred knowledge, skills or abilities for this position.
Some knowledge of BANNER system is highly desirable

Receptionist - Greet public and university employees. Welcome visitors and, if needed, take messages, disseminate information to appropriate person. Handle routine inquiries and determine when a person needs to see a HR staff member, PPA, Payroll Technician, leadership, or someone from another office. Assist visitors with basic needs and help departmental contacts with their needs. Provide assistance with location of basic HR reference forms and materials when needed. Check office phone for voice mail regularly, take message and route voice mail message to the appropriate person promptly. Schedule appointments for/with HR staff as appropriate or requested
Office support to help HR offices run smoothly. Coordinate with main HR office as needed to clarify policies and procedures. Serve as lead of WR office team and coordinate with main office receptionist to ensure appropriate reception coverage, arranging for extra assistance when needed. . Coordinate regularly with main office receptionist to help keep staff informed of important items (i.e. employee absences, unusual situations, and so forth.)
Open, sort, distribute, collect and deliver mail. Handle mail and fax tracking of signature items, ensuring information gets routed and handled as appropriate. Receive, open, date stamp, and distribute incoming mail when necessary, sending misdirected mail to appropriate person. Process outgoing intercampus mail and US mail, including special mailings. Coordinate large mailings and incoming/outgoing faxes. Receive and deliver vendor deliveries.
Assist with checking and maintaining inventories (e.g. office supplies, technology, etc), check in new items received and keep supplies and other items needed in appropriate location
Ensure functional operation of office technology (e.g., copiers, fax machines, printers, OnBase station, computer work stations, etc ) - take necessary action, arranging for repair if necessary. As part of HR office team - handle large photocopy projects, prepare correspondence, proofread typed material, draft and update reports/flyers, take meeting minutes and distribute as needed, and handle HR office shredding. Responsible for document OnBasing process at the WR office.
Assist with scheduling group meetings, including reserving facility and arranging audio/video support and/or catering, receiving RSVPs, assembling meeting materials. Provide assistance to HR management team and office staff as needed.
