Unit Job Summary
Project Assistant III, Reception Office: Under the supervision of the Associate Director of Finance and Operations the Project Assistant III is responsible for the main Medicine & Biological Sciences Development telephone line and MBSD staff directories. Welcomes donors, prospective donors, job candidates, and vendors; receives deliveries of mail, packages and fax items; maintains and orders basic supplies and stationery for the MBSD office; maintains all office machines; coordinates the work assignments with other members of the Operations team. The Project Assistant III, Reception Office is the constant, professional presence in a fast-paced office; provides travel arrangements as necessary; tracks mailings of the Dean's acknowledgement letters. Supports the Operations Team in preparing documents and materials, schedules meetings, reserves meeting rooms, coordinates travel and catering arrangements; responsible for monitoring and reconciling financial accounts; responsible for data entry; participates in office-wide meetings and events; maintains an awareness of MBSD office schedules and meetings, and proactively navigates appropriate guests and scheduling; and other clerical duties as assigned.
Candidates must demonstrate the following competencies: manage interpersonal relationships and interact/communicate with clarity, tact and courtesy with patrons, patients, staff, faculty, students and others; communicate effectively in English, both orally and in writing; identify priorities; recognize and resolve or refer problems; work effectively with supervision and as a part of a team; use or learn a range of position-related software applications including development databases; proficient knowledge of Microsoft Office, including Word, Excel and PowerPoint is required; knowledge of internet search processes and techniques is required; extensive experience in a fundraising or alumni relations environment, or with event coordination required; ability to accurately is spell required; accuracy and attention to detail required; excellent organizational skills and the ability to meet deadlines and to work on several projects at one time required; ability to maintain confidences and act with discretion concerning confidential employee/labor relations information required; willingness to work evenings and weekends is required.
