The Executive Assistant is responsible for all secretarial functions for the President and Board of Directors of the agency.
Essential Duties and Responsibilities include the following:
Records and transcribes minutes for the agency's board meetings and committees, Senior Leadership meetings, leadership meetings and all staff meetings.
Schedules and coordinates meetings and appointments and maintains the calendar of Senior Leadership.
Acts as a liaison between the President/CEO, board of directors and other senior staff.
Composes letters, memorandums, agendas, board packets and regulatory applications.
Plans and coordinates arrangements for off-site meetings, travel arrangements, food service and business lunches.
Maintains executive files and records and the agency's policy and procedure manual.
Receives and screens incoming calls and/or visitors and determines their priority.
Reads and screens incoming correspondence and prioritizes for the President/CEO.
Types confidential and sensitive reports and facility, physician and vendor contracts as needed, maintaining confidentiality in all correspondence and communication.
Other duties may be assigned or required for the performance of this position.
Non-essential Duties and Responsibilities include the following:
Assists with coverage for the switchboard and training of administrative assistants.
Education & Formal Training Required:
Associate's degree is preferred in administrative assistance or related field
Training in communication and secretarial skills
Job Experience Required:
5 plus years of experience as an administrative or executive assistant.
Specialized Competencies (Skills, Abilities, Behaviors) Required:
Communication skills both verbal and written
Computer skills (Word, Excel, PowerPoint, Publisher, databases, internet e-mail), voicemail
Physical/Mental/Visual Job Requirements:
Frequently sitting and working at the computer
Frequently working with interruptions
Frequently works with confidential information
Frequently lifting up 10-20lbs and occasionally up to 50 lbs
General office working conditions
Occasionally travels to off-site seminars and meetings
